Reporting to the CEO, the Executive Office Manager coordinates the smooth functioning of the Executive Office by overseeing administrative operations, managing office systems and resources, ensuring compliance with relevant policies, and supporting key priorities in a fast-paced, purpose-driven environment.
Key responsibilities and accountabilities:
Office Management
Oversee day-to-day operations of the Executive Office to ensure a professional, efficient, and well-functioning work environment.
Manage office resources including equipment, supplies, and service providers, ensuring value for money and continuity of service.
Coordinate office systems, maintenance, and compliance with WHS requirements in collaboration with relevant staff.
Support onboarding processes and maintain shared office infrastructure (e.g., meeting rooms, technology bookings).
Monitor subscriptions, memberships, and vendor agreements related to the Executive Office.
Coordinate the allocation of administrative tasks, ensuring smooth delivery of support functions across the Executive team.
Executive Office Coordination
- Provide high-level support to the Executive team, including calendar and communication management, drafting and editing documents, preparing agendas, reports, and board materials.
- Liaise with external stakeholders, including partner organisations and consultants, to ensure effective information flow and operational follow-through.
- Support governance functions such as board meeting preparation, minute-taking, and documentation tracking.
- Coordinate logistics for events, internal meetings, and external functions involving the Executive team.
Compliance and Records Management
- Maintain accurate and up-to-date records, contracts, and governance documentation in accordance with organisational policies.
- Ensure filing systems (digital and physical) are efficient and secure, particularly for executive-level material.
- Support policy adherence and stay informed of organisational compliance obligations.
Operational Support and Culture
- Assist in planning and executing staff functions and internal engagement initiatives.
- Coordinate cross-departmental meetings, communications, and project-related logistics as required.
- Facilitate background research and preparation for strategic initiatives led by the Executive Office.
Salary: $100,639.07 depending on experience.
Skills and attributes required.
Essential
- Proven experience in office coordination or executive-level administration, ideally supporting senior leadership.
- Excellent organisational and time management skills, with the ability to handle multiple priorities effectively.
- Strong interpersonal and stakeholder management skills across varied levels of an organisation.
- High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Demonstrated attention to detail and a proactive, solutions-oriented approach to office operations.
Desirable
- Familiarity with governance practices, board reporting, and compliance in a regulated sector.
- Prior experience in aged care, disability services, or NDIS environments.
- Understanding of inclusive practices and administrative support for people with disabilities.

- NDIS Worker Screening Check
- Working with Vulnerable People Check (NDIS endorsed)
- Valid Driver’s Licence
