Position Overview:
We are seeking a highly skilled and proactive Executive Assistant to support our Director of Operations. In this pivotal role, you will provide high-level administrative support to ensure the seamless coordination of daily operations, HR administration, recruitment, onboarding, compliance and strategic initiatives.
This is a part-time 0.8 FTE position spread across 4 or 5 days per week. This position is suitable for someone based in Perth. Although home-based, travel to sites across the Metropolitan area is required. It is perfect for someone who thrives in a dynamic environment and is passionate about the non-profit sector.

Pregnancy to Parenthood (P2P) is a non-profit organisation dedicated to promoting optimal infant and early childhood mental health while supporting parental wellbeing during the perinatal period (pregnancy to age three).

About the Role:
As our Executive Assistant, you’ll play a key role in ensuring the smooth operation of our HR and operations functions. Your responsibilities will include:
Executive & Administrative Support: Assist the Director of Operations and Executive Leadership Team with administrative tasks, scheduling, and documentation.
HR Administration: Support recruitment, onboarding, and induction of new staff and students.
Compliance & Record Keeping: Maintain accurate and confidential HR records, contracts, policies, and procedures.
Training & Development: Coordinate staff training programs and track employee development.
Workplace Compliance: Ensure adherence to labour laws, workplace policies, and OH&S regulations.
Office & Clinic Operations: Oversee office operations by managing supplies, records, and administrative processes to maintain well organised and efficient workplace and clinical locations.
Payroll Support: Assist with payroll preparation and HR-related financial processes.
Special Projects: Support the planning, execution, and follow-up of strategic projects and initiatives, collaborating with various departments as required.
Confidentiality: Handle sensitive information with the highest level of confidentiality and discretion, maintaining trust and professionalism.
Problem-Solving: Proactively anticipate challenges and implement effective solutions, demonstrating adaptability and resourcefulness.
About You:
We’re seeking a highly organised, proactive, and adaptable professional based in Perth and thrives in a fast-paced environment. You’ll bring:
Qualifications in HR, Business Administration, or a related field (or significant relevant experience).
At least three years’ experience in HR administration, executive support, or office management (nonprofit experience desirable).
Knowledge of Australian employment law and HR best practices.
Exceptional organisational skills with the ability to manage multiple priorities.
Strong communication & interpersonal skills (written, verbal, and visual).
Ability to work independently & collaboratively in a remote setting.
High attention to detail and ability to handle confidential information.
Proficiency in Microsoft Office, HR software (e.g., Employment Hero), and CRM systems.
Valid driver’s licence & access to own transport.
Physically able to assist with office/clinic setups as required.
