The Opportunity
We are seeking a proactive, highly organised Executive Assistant & Office Administrator to support our Managing Director and oversee the smooth running of our administrative operations. This is a diverse and rewarding full-time position combining executive support, office management, and bookkeeping responsibilities.
Key Responsibilities
Executive Support:
Manage the MD’s calendar, emails, and daily agenda.
Coordinate travel arrangements and logistics for business trips and events.
Prepare reports, presentations, and meeting materials.
Liaise with internal and external stakeholders on behalf of the MD.
Office Administration:
Oversee general office operations and administrative functions.
Develop and refine internal systems, policies, and standard operating procedures.
Maintain office supplies and equipment.
Bookkeeping & Financial Support:
Manage bookkeeping across multiple entities, including payroll, superannuation, BAS, and IAS.
Assist with budgeting, cash flow management, and financial reporting.
Ensure compliance with ATO, ASIC, and other regulatory requirements.
Coordinate with external accountants for tax planning and financial management.
About You
Diploma or higher qualification in Accounting, Bookkeeping, or a related field.
Proven experience in executive support, office administration, and bookkeeping.
Proficiency in Xero and Microsoft Office Suite.
Strong understanding of business processes, financial management, and planning.
Excellent organizational and communication skills.
Ability to handle sensitive information with discretion.
