MAt Therapy Partners, we are a leading allied health provider delivering Occupational Therapy, Speech Pathology, Psychology, and Behaviour Support services under the NDIS framework. We are seeking a reliable, warm, and organised Medical Receptionist to join our Robina-based team, with a key focus on front desk duties, invoicing, and NDIS administrative support.
Your Key Responsibilities:
Reception & Front Desk Operations
Greet all clients, carers, and visitors professionally and with a friendly attitude
Answer phones, respond to emails, and manage appointment enquiries promptly
Coordinate practitioner calendars and manage bookings using practice management software (e.g. Cliniko, Halaxy, or Splose)
Maintain a tidy, welcoming, and efficient reception, waiting area, and overall clinic presentation
NDIS Invoicing & Administration
Manage and upload batch invoices for services to plan managers and the NDIS PRODA/MyPlace portal
Perform bank reconciliations using Xero, ensuring accurate allocation of payments
Monitor and track incoming payments
Respond to invoice queries from clients, support coordinators, and plan managers in a timely and professional manner
Ensure all billing practices comply with current NDIS pricing arrangements and service guidelines
Reporting & Quality Assurance
Provide comprehensive administrative support to facilitate quality assurance processes for therapists’ reports
Distribute reports promptly and accurately to clients and/or their support networks, ensuring clear communication
Ensure all documentation and records meet quality standards and compliance requirements
Maintain a high level of attention to detail in all administrative and reporting tasks to support audit compliance
General Administration
Maintain accurate and confidential client records in line with NDIS and privacy requirements
Assist with document scanning, electronic filing, and reporting tasks
Liaise with allied health team members to support smooth client service delivery
Manage stock and supply levels for the reception and clinic area
What You Bring:
Reception/Admin Experience: Minimum 1–2 years in a medical, allied health, or disability services reception role
NDIS Knowledge: Understanding of NDIS service agreements, funding types, and claim processes
Software Proficiency: Experienced using Xero, Microsoft Office (Excel, Word, Outlook), and client management systems (e.g. Cliniko, Halaxy, or Splose)
Customer Service: Excellent interpersonal skills and a calm, caring approach when interacting with clients and stakeholders
Attention to Detail: High level of accuracy in data entry, invoicing, appointment coordination, and reporting
