About the role
We are seeking a proactive, detail-oriented Office Administrator to join our dynamic team and support our mission of delivering exceptional customer service and results. This role combines administrative and loan support responsibilities, playing a pivotal part in ensuring the smooth functioning of our office and lending operations. You will work closely with Business Development Managers, brokers, lenders, and legal partners to manage documentation, coordinate schedules, and support compliance and reporting functions.
This is a full-time position based in our Sydney CBD location.
What you'll be doing
Providing administrative support to the wider team.
Prepare reports, presentations, and correspondence with a high level of accuracy.
Maintaining and updating office records, databases, and filing systems
Monitor and improve administrative systems and procedures.
Prepare and manage end-to-end loan submissions, including writing loan comments, assessing servicing capacity, and submitting pricing requests.
Participate in credit calls with lenders and follow up on outstanding matters to ensure timely progression of deals.
Perform complex calculations as required using Excel and TMO to provide loan settlement/payout/interest/payment figures to both lenders and borrowers based upon different scenarios.
Review and verify documentation for accuracy, completeness, and compliance with internal and regulatory standards. Ensure all agreed terms, conditions and calculations included in our legal agreements are correctly reflected in our software system including problem solving and “out of the box” solutions where necessary.
Accurately enter and process data for approximately 100 lenders and borrowers.
Support compliance and reporting processes, including internal audits and regulatory submissions
Maintain accurate records and proactively manage pipeline activity to support reporting and performance tracking.
Conduct end-of-month processing, reporting, and preparation of lender and borrower statements.
Respond to client and stakeholder inquiries professionally and promptly.
Liaise with internal teams to ensure timely and accurate information flow
What we're looking for
At least 2-3 years of experience in an administrative or office support role
Strong organisational and time management skills with the ability to prioritise tasks and meet deadlines
Excellent communication and interpersonal skills, with a professional and friendly demeanor.
Proficiency in using Microsoft Office suite (Word, Excel, Outlook, PowerPoint)
Attention to detail and a commitment to accuracy in your work
Ability to work independently and as part of a team
Knowledge of office management best practices and procedures
