We are seeking a proactive and detail-oriented Administration & Contractor Support Officer to join our team. This hybrid role will be pivotal in ensuring smooth day-to-day operations across our administrative functions, while also supporting the growth of our physiotherapy contractor network. The successful candidate will play a vital role in managing incoming referrals, handling client communications, maintaining invoicing accuracy, and assisting with onboarding physiotherapists once they express interest in contracting with us.

Please note we require candidates to be located in Sydney.

Key Responsibilities:

Administrative Duties

Manage incoming and outgoing referrals, ensuring they are accurately logged and actioned.

Handle day-to-day email and phone enquiries from clients, providing timely and professional responses.

Prepare, send, and track invoices, liaising with contractors and clients to ensure timely payments and issue resolution.

Maintain organised digital filing systems for client and contractor documentation.

Complete general administrative tasks as required by management.

Contractor Network Support

Assist with recruitment administration after a physiotherapist expresses interest in becoming a contractor (e.g., following up leads, sending onboarding forms, checking documentation).

Maintain an up-to-date database of contractor information, availability, and compliance documentation.

Liaise with contractors to manage referral assignments and updates.

Liaison and Coordination

Act as the first point of contact for enquiries from both clients and contractors.

Escalate relevant matters to management in a timely manner and support ad hoc projects.

Requirements:

Essential:

Proven experience in an administrative or coordination role.

Excellent verbal and written communication skills.

Strong organisational skills and attention to detail.

Ability to manage multiple priorities and deadlines efficiently.

Proficient with Microsoft Office (Word, Excel, Outlook) and cloud-based tools.

Professional and courteous interpersonal skills.

Desirable:

Experience in a healthcare, allied health, or contractor-based environment.

Familiarity with invoicing systems.

Experience with or interest in recruitment processes.
