We are seeking experienced Administrative Officers wishing to be considered for various roles within the Recognition & Customs section. These administrative roles sit within the Chief of Staff Portfolio.
As the primary custodian of the AFP’s ceremonial and protocol activities, recognition framework, chaplaincy and historical legacy, Recognition & Customs are committed to the application of established customs and traditions. Our efforts focus on ensuring the recognition and celebration of the agency’s significant achievements, both past and present. By maintaining these practices, we preserve and reinforce the AFP’s legacy, fostering a deep sense of pride and continuity within the agency, while also supporting the spiritual needs and well-being of members through the chaplaincy network.
As a Team Member in the AFP you will be required to contribute to the achievement of outcomes in accordance with the regulatory framework, the AFP Code of Conduct and the AFP Governance Instruments. It is expected that the successful applicant will deliver on the core responsibilities and meet any requirements of the position as outlined below.
What will you do?
Honours & Awards
This role predominately maintains Honours and Awards, including the provision of AFP internal awards and the facilitation of external awards and higher honours to current and former members.
In this role you will:
- Coordinate and process nominations for meritorious awards within the Australian Honours & Awards System, including the Australian Police Medal and Public Service Medal.
- Plan and execute Award Musters, in consultation with executive support staff, both locally and interstate.
- Maintain SAP records, excel spreadsheets and award databases
- Provide timely and accurate advice to current and formers members through the team inbox and hotline
- Coordinate high level projects, identifying opportunities for improvement and efficiency
- Provide quality assurance of medals prior to dispatch
- Develop, strengthen and maintain stakeholder relationships
- Develop Band 4 Team Members by fulfilling a guiding, mentoring and advisory role
Ceremonial & Protocol
This role is responsible for assisting the Team Leader in developing resources involved in the effective delivery of the Ceremonial & Protocol Network and key events.
In this role you will:
- Support the delivery of high-level ceremonial outcomes commensurate with AFP and National priorities, often in tight timeframes and may include planning and conduct of ceremonial events and CAPO training courses.
- Maintain high-level knowledge of the relevant portfolio objectives, including progress towards outcomes/outputs/projects to enable the provision of support and advice.
- Enhance the business operations and outcomes including cross portfolio liaison, collaboration and stakeholder engagement.
- Exercise strong leadership skills and the ability to influence a diverse range of stakeholders.
- Demonstrate sound judgement and professionalism and work flexibly to achieve results.
- Be an effective communicator, with the ability to work both independently and collaboratively to problem solve and negotiate outcomes.
- Understand or have the ability to quickly acquire knowledge of the processes and procedures required to develop relevant correspondence, executive briefings, and talking points.
Essential Requirements
- You must be an Australian Citizen at the time of application.
- A Negative Vetting 1 (Secret) security clearance or the ability to obtain one.
- Demonstrated experience working in an administrative support role.
- Demonstrated and highly developed organisational and administration skills.
- Strong communication skills, with an emphasis on producing written work to a high standard.
- Demonstrated ability to work within a small team environment to achieve outcomes.
- Demonstrated ability to be flexible and adaptive to short timeframes.
- Ability to organise and coordinate activities for a range of stakeholders, including an adaptive communication style to suit the audience.
- Intermediate to advanced competency in Microsoft Office suite of programs, most notably Outlook.
Desirable Requirements
- Formal qualifications or proven experience in project management
- Knowledge of both Australian Honours and Awards and AFP Recognition Framework
- Previous experience as a Ceremonial & Protocol Officer, within or external to the AFP
