We are a fast growing, family-owned business, that is seeking a highly positive, team player to join our ACT & Queanbeyan office team based in Mitchell ACT.
We are seeking an enthusiastic and highly motivated Office Administrator to join our team on a 8-month contract (with possibility of extension and/or permanency). As an Office Administrator in the community aged care sector, you’ll play a key role in ensuring clients receive timely, compassionate, and personalised care. You’ll be responsible for assisting the management team with smooth day-to-day operations within the office. This role requires exceptional organisational skills, a keen eye for detail, and strong communication abilities to handle last-minute adjustments. You’ll work closely with the management team, scheduling officer & care management teams to support the day-to-day functions of this business.
About the Role:
Initial 8 Month Contract (With the possibility of extension and/or permanency)
Utilising our internal customer management software Visual Care and Right at Home Team Portals.
Frequently liaising with management team, scheduling team, the clinical team, care staff and clients.
Ensure all administrative records and databases are accurately maintained and up to date.
Assisting with onboarding new care workers. This includes obtaining knowledge of the recruitment process, selecting candidates, obtaining compliance documentation and records, running orientations, obtaining and maintaining availability information of care workers.
Comply with safe work practices and participate in workplace consultation activities.
Organisation of outgoing letters under direction of accounts team.
Process work orders and supply orders in a timely manner.
Organise training for care staff, meetings, events, and functions as required.
High degree of customer service and critical thinking tasks involved.
Answering incoming calls via the 24-hour phone line and providing excellent support over the phone to all incoming callers, this includes clients, care team and sales enquiries.
Provide administration team support during periods of leave.
Assisting with scheduling tasks and updating database when required.

Qualifications:
Essential
Previous Office experience
High level of computer literacy and understanding of technology (must have experience with Microsoft Word, Outlook and Excel).
Criminal History Check certificate and Working with Vulnerable People Card.
Possess a 'can-do' positive attitude and works well in a fast-paced team environment.
Ability to problem solve and think quickly under pressure.
Good communication skills, this includes excellent written English and personable telephone manner.
Must be reliable
Highly desirable
Familiar with; or previously worked in the aged care/disability sector.
In-depth understanding of SCHADS Award and Fair work Requirements
Previous experience with casual and part time work contracts.
Previous experience with Visual care and/or other rostering systems.
Understanding of Home Care Packages and NDIS
A willingness to learn on the job
