Job Summary:

The Administrative Secretary will be responsible for office administrative and clerical duties including documenting correspondence, scheduling appointments and meetings, filtering phone calls, maintaining records and reports, and ensuring smooth workflow across departments.

The ideal candidate is proactive, detail-oriented, and organised.

Key Responsibilities:

Oversee daily administrative tasks to ensure office efficiency.

Coordinate with Human Resources, Accounting, and other departments for administrative needs.

Refilling office pantry, stationary, supplies and working with other vendors.

Filtering phone calls, correspondences and reports.

Assist in planning company events, appointments, meetings, and travel arrangements.

Ensure compliance with company policies and regulatory requirements.

Monitor budgets and expenses related to administrative functions.

Qualifications & Requirements:

Must be at least Bilingual (English IELTS 7+ and Mandarin or Cantonese).

Bachelor’s degree in Business Administration, Management, or a related field.

Proactive self-starter and able to work independently.

Detail-oriented, organised and able to multitask.

Proficiency in MS Office and office management software.

Strong communication and problem-solving skills.

Ability to handle confidential information with discretion.
