Primary Purpose
Administration Assistant is responsible for providing administrative support and operational support to the Business Development Manager and team on the day-to-day operations.
The Administration Assistant will work closely with the Business Development Manager and team and will interact with managers and staff across the organisation as required.
Duties and Responsibilities
Administrative Support
Respond to external and internal telephone calls and emails
Prepare documents to a high standard of accuracy and presentation
Coordinate meeting requests
Collate and prepare reports using Microsoft Office and organisational software applications
Provide secretarial support for meetings, including meeting minutes
Mail Check
Provide administration support to the Business Development Manager
Operational Support
Co-ordinate arrangements for WHS audit requirements
General housekeeping of meeting rooms and common areas
Co-ordinate meeting room bookings and room set up
Co-ordinate and arrange catering requirements
Liaise with suppliers
Maintain vehicle logbooks and pool cars
Coordinate and book staff travel requirements
Management of social media page and business website

Please note that the responsibilities outlined in this position are not exhaustive, and only an indication of the work of the administration assistant role. Business Development Manager can direct you to carry out duties which it considers are within your level of skill, competence and training.
Key Selection Criteria
Qualifications in Business Administration (desirable)
Previous experience or demonstrated interest in working with non-profit organisation (desirable)
Proven capacity to provide a high standard of confidential administrative support
Excellent communication and collaboration skills
Professional presentation and well-developed communication skills
Highly developed skills using MS suite of applications including design of tables, charts and spreadsheets
Excellent organisational and time management skills with the ability to proactively prioritise, multi-talk and work flexibly
Additional Factors
Possession of a current Driver’s License valid in NSW is required
Current First Aid and CPR Certificate or (willing to obtain)
Current NSW Working with Children’s Check
Current Criminal History check
Please note: minimal travel will be required.
This position is a contracted to June 30th, 2026 with the possibility of extension.
