About the Role
As a Facilities Coordinator, you will manage day-to-day maintenance requests, coordinate contractors, and support the smooth operation of a diverse property portfolio to ensure safe, compliant, and well-maintained environments.
Duties
Within this role, you will be responsible for:
- Act as the first point of contact for all facilities-related queries
- Manage the Facilities inbox and phone line, triaging requests as they come in
- Log, prioritise, and assign reactive and planned maintenance tasks
- Liaise with internal stakeholders and external contractors daily
- Follow up on outstanding work orders to ensure timely completion
- Troubleshoot issues and source alternative service providers if needed
- Attend sites occasionally to assess or coordinate works (pool car provided)
- Identify whether repairs fall under landlord or tenant responsibility
- Ensure contractor documentation is up to date
- Maintain accurate records of maintenance, compliance, and service activity
- Support the delivery of refurbishments, relocations, and minor works
- Ensure essential safety measures and compliance obligations are met
- Process facilities-related invoices and maintain asset and key registers
- Support general office coordination tasks at the head office as needed
- Contribute to a safe, efficient and well-maintained environment across all sites
Skills & Experience
- 2+ years' experience in a facilities coordination or property maintenance role
- Proven ability to manage and prioritise multiple maintenance requests across range of sites
- Experience coordinating contractors, trades, or service providers to meet service standards
- Strong understanding of property maintenance, compliance, and basic WHS requirements
- Ability to determine and interpret landlord vs tenant responsibilities in lease agreements
- Confident communicator with the ability to manage demanding stakeholders calmly and professionally
- Excellent organisational skills with a proactive and solutions-focused approach
- Comfortable using systems to log and track work orders (e.g., maintenance or FM software)
- Capable of working autonomously while also collaborating effectively in a team
- Strong administrative skills, including record-keeping, email and invoice management
- Quick learner with the ability to understand the unique needs of different sites
- Comfortable travelling to sites when required (pool vehicle provided)
- Familiarity with compliance registers, essential services, and facilities documentation is desirable
- Previous experience in a not-for-profit or community-focused environment (preferred but not essential)
- A current Working with Children Check and NDIS Worker Screening
