Location: Morhaven, Castle Hill
Hours: Monday to Friday, 9:00 am – 5:30 pm

About the Role
This role is based at our Castle Hill Centre and involves supporting our diverse team across services such as Exercise Physiology, Psychology, Behavioural Support, and Occupational Therapy. You’ll be the first point of contact for clients and visitors, helping to create a welcoming and positive experience.
Your responsibilities will include:
Greeting clients and visitors with warmth and friendliness
Managing incoming calls and inquiries professionally
Booking, confirming, and adjusting appointments using Cliniko and over the phone
Supporting clinicians with scheduling and day-to-day operations
Handling payments (EFTPOS, HICAPS, Medicare, NDIS) and end-of-day reconciliations
Responding to emails, data entry, scanning, and filing documents
Managing stock and supplies
Assisting clinicians and the Allied Health Manager with admin tasks
Keeping the reception area clean, welcoming, and organised
Conducting initial questionnaires to understand client needs, goals, and NDIS eligibility
Collecting, verifying, and maintaining client documents and records in line with policies and regulations
Coordinating with internal and external teams such as doctors, support workers, NDIS planners, and other stakeholders
Assisting with event coordination and community engagement
Following up with clients post-appointment to ensure satisfaction and ongoing engagement
Preparing reports using Cliniko and providing feedback on service delivery
About You
You’ll thrive in this role if you are:
Experienced as a receptionist in a medical or allied health setting
Tech-savvy, especially with Microsoft Office (Outlook, Word, Excel) and cloud-based systems like Shiftcare & Cliniko
Experienced in processing claims through Medicare, private health insurance, DVA, or aged care
Well-organized with strong attention to detail and time management skills
Able to work independently and as part of a team
Friendly, approachable, and empathetic with excellent communication skills
