We are seeking a dedicated and versatile Scheduling & Office Administrator to join our team.
Position Overview
As our Scheduling & Office Administrator, you will be the central point of contact, ensuring the smooth coordination of our field operations and providing essential administrative support. This multifaceted role requires a proactive individual who can manage scheduling, handle customer inquiries, and maintain efficient office processes.
Key Responsibilities
Manage the scheduling and assignment of jobs for 3-4 teams.
Upload job details from emails to job manager, following our established job template.
Maintain and update job cards, ensuring all stages are accurately tracked through to invoicing.
Ensure comprehensive job records by verifying that all job cards include relevant photos and information post-completion.
Liaise with contracting companies to facilitate timely job processing and resolve any scheduling conflicts.
Finalise paperwork, update the job tracker in Google Sheets, and provide timely updates on job progress and call-backs.
Serve as a primary point of contact for customer inquiries, providing exceptional service and directing calls as needed.
Perform a variety of administrative tasks, including data entry, documentation, and record-keeping, to support office operations.
Assist in both bookings and sales tasks as needed, contributing to overall efficiency and workflow.
Provide ad hoc support to both operations and sales teams.
Requirements
Proven experience in scheduling, office administration, or customer service roles.
Strong organisational and multitasking skills, with the ability to manage competing priorities.
Excellent communication and interpersonal skills, with a customer-focused approach.
Proficiency in data entry, record-keeping, and using software such as Tradify and Google Sheets.
Ability to analyse data, solve problems, and make informed decisions.
Adaptability, a willingness to learn, and a proactive approach to problem-solving.
Experience in the solar or renewable energy industry is a plus.
