VIVA Mutual is seeking a detail-oriented, proactive Scheduling Duty Officer to join our Support Centre. In this critical operations role, you will support our Service Coaches and self-managed support teams by ensuring services are scheduled accurately and efficiently—contributing directly to continuity of care for the people we support.
About the Role
As the Scheduling Duty Officer, you will:
Manage day-to-day rostering and unallocated services within our approved scheduling framework.
Respond to requests and ensure services are appropriately staffed using our self-managed team model.
Work closely with Service Coaches to uphold SCHADS Award compliance, contracted hour targets, and team continuity.
Communicate directly with support workers, clients, and internal teams to resolve issues and escalate where needed.
Maintain inboxes, chats, and phone systems to ensure timely and high-quality responses.
Prepare and communicate key updates to the On-Call team.
Perform On-Call duties as may be required
This role is dynamic, fast-paced, and requires a balance of operational focus, strong communication, and collaboration across teams.

Is a natural problem solver with strong communication skills.
Has experience in scheduling, rostering, customer service, or similar operational roles.
Understands (or is willing to learn) the SCHADS Award and the NDIS Practice Standards.
Works well in a team and thrives in a self-managed, collaborative environment.
Can build strong relationships across diverse teams.
Is committed to person-centred care and making a real impact.
Requirements
Previous experience in a scheduling, coordination, or administrative role (NDIS or healthcare preferred).
A strong understanding of person-centred and strengths-based practice.
Ability to manage documentation, risk, and compliance effectively.
NDIS Worker Screening Check (or willingness to obtain).
Driver’s licence and access to a reliable vehicle.
