Working Hours
9:00 am – 3:00 pm
3 to 5 days per week
What You'll Do:
1. Reporting & Supervision
Work under the close supervision of the Disability Manager, receiving guidance, performance feedback and direction on all service administration activities.
2. Client & Stakeholder Communication
Manage inbound client calls and act as the first point of contact for all service enquiries.
Respond to stakeholder emails promptly, keeping clients, families, and external providers informed of service updates.
Liaise with referring agencies and allied health professionals to coordinate care and share relevant client information.
3. Workforce Supervision & Support
Directly supervise Support Workers, providing day-to-day guidance, rostering support, and acting as their primary escalation point.
Coordinate monthly supervision sessions and on-the-job check-ins to ensure quality of care and compliance with support plans.
Facilitate team meetings to share best practices, address concerns, and maintain cohesion across the support team.
4. Compliance, Quality & Risk Management
Maintain compliance with customer service standards, organisational quality frameworks, NDIS/QS regulatory requirements and internal risk management policies.
Update and review risk management plans, incident management protocols and other governance documents to reflect new learnings or regulatory changes.
Manage the incident register, ensuring all incidents are logged, investigated, and followed up with corrective actions and required paperwork.
5. Documentation & Service Agreements
Prepare and update service agreements, support plans, risk assessments and related forms in line with the NDIS Price Guide and internal policies.
Obtain signatures from clients, guardians and relevant parties, and ensure fully executed agreements are filed and accessible.
Generate monthly reports on client visits, support hours delivered, incident trends and compliance checks.
6. Coordination & Administration
Work closely with HR to handle rostering, recruitment, onboarding and compliance checks (e.g. Working with Children Checks, Police Checks).
Coordinate with SIL teams to manage Specialist Independent Living services across SIL houses, ensuring client goals are met.
Organise client group-based activities once a month, designing and scheduling events that promote social engagement and skill development.
Develop individualised activity planners that align with each client’s goals, preferences and NDIS plan objectives.
Selection Criteria
Essential:
Minimum 3 years’ relevant demonstrated experience coordinating NDIS services, including working with complex clients (behavioural and high intensity)
Comprehensive knowledge of NDIS processes, compliance requirements and quality standards
Proven incident management, risk mitigation and compliance reporting skills
Exceptional written and verbal communication, with ability to engage diverse stakeholders
Strong organisational skills and ability to manage competing priorities in a fast-paced environment
Experience mentoring and developing team members
Proficiency in Microsoft Office and rostering/client management software
Current NDIS Worker Screening Check, First Aid Certificate and a valid Australian driver’s licence
Desirable:
Tertiary qualification in Community Services, Disability or related field
Experience with Supported Independent Living (SIL) practices
Knowledge of Therapy & Capacity Building services within the NDIS
Track record of implementing service improvement initiatives and contributing to business growth
