About the Role
The Executive Services team is the lynch pin between the Office of the CEO, GIICA, and three levels of Government, ensuring that all incoming correspondence and government requests are managed and responded to in a timely and professional manner. The team prepares responses to enquiries from a variety of stakeholders, managing the distribution of more complex correspondence to the relevant officers, and ensuring all requests are actioned within agreed timeframes.
As the Manager you will lead a small team, taking a key role in leading quality assurance, ensuring that all correspondence and briefing notes that leave the Authority meet the required standards. You will liaise with Queensland Government departments on input to documents for Government, Parliament and Ministerial briefings. You will also provide reporting on the volume of correspondence received and the Authority’s ability to meet timeframes. You will be a superuser of our records management system and provide advice to the broader team on how to effectively manage correspondence. This role provides the opportunity to use your excellent writing, editing and proofreading skills to ensure that documents are engaging, clear and concise.
The role is fast paced and operates in a complex, high-profile and often changing environment.
In joining the Authority, you will join a team of hard-working professionals, dedicated to preparing Queensland for the Brisbane 2032 Olympic and Paralympic Games.
The salary on offer is between $155,000 and $170,000 per annum commensurate with experience, plus 12.75% superannuation. This is a full-time, maximum-term role for 5 years.

The Games Independent Infrastructure and Coordination Authority (GIICA) is laying the foundations for the 2032 Olympic and Paralympic Games and beyond.

About your Responsibilities
Lead and manage team priorities in the preparation, management and reporting of the GIICA’s correspondence and briefing processes, distributing or managing complex correspondence as appropriate, and ensuring it is actioned within agree timeframes.
Prepare, review, edit and quality assure, briefing notes, information papers, reports and correspondence on complex and sensitive issues, key business priorities and operational issues including matters for discussion with stakeholders from government and external organisations.
Liaise with Queensland Government departments about documents for Parliament, Cabinet and Ministerial briefings, ensuring requests and subsequent content provided are appropriate, accurate and of high quality.
Drive follow-up of overdue items while maintaining effective team relationships.
Provide expert advice, training and support to GIICA’s staff concerning the preparation of executive correspondence, briefing notes, information papers, including associated processes, procedures, timelines and reporting requirements.
Develop and maintain the correspondence and briefing style and process guides for the Authority.
Prepare correspondence performance reports and business reports as required.
Develop, implement and monitor the effectiveness of correspondence processes and implement process improvements as required.
Lead organisational transition activities related to the Executive Service team.
Maintain the record management system and provide advice and assistance to users in its use.
About You
Demonstrated experience in preparing and quality assuring executive correspondence including knowledge of protocols in handling sensitive and commercial-in-confidence information, and Parliament, Cabinet and Ministerial processes.
Demonstrated experience in roles requiring excellent written communication skills, with high levels of accuracy and exceptional attention to detail (including grammar and spelling).
Demonstrated experience working in a fast-paced environment with tight deadlines, along with the confidence and tact to follow up senior leaders as needed to meet deadlines.
Ability to work collaboratively and with a customer centric approach, as well as the ability to lead a small team and continuously improve best practice correspondence processes.
Demonstrated ability to apply critical thinking and analysis in completing your work.
Ability to quickly develop an understanding of our business, understand who does what, and develop and maintain effective working relationships with all team members including senior leaders.
