About the Role
Dynamic Tree Solutions is a premium provider of large-scale arboricultural, land clearing, and vegetation management services. With a fleet of industry-leading machinery and a solid reputation across Queensland and Northern NSW, we deliver complex projects for government, civil, commercial, and private clients.
We’re now seeking a Business & Operations Manager to join our leadership team and take command of day-to-day operations. Reporting directly to the Director, this role requires a high-performing, people-focused problem-solver who can balance strategic planning with hands-on execution — keeping the wheels turning while building the structure to grow further.
Key Responsibilities
Leadership & Business Management
Lead the day-to-day operations of the business — across scheduling, admin, compliance, and finance
Serve as the Director’s right hand, taking initiative to prioritise, delegate, and resolve issues with minimal guidance
Implement and manage internal systems, SOPs, reporting structures, and workflow improvements
Supervise and coach our internal team, on-site crews, and overseas Virtual Assistant
Ensure the business runs with a calm, confident presence – even in high-pressure situations
Operational Coordination
Manage job scheduling across multiple crews, subcontractors, and service locations
Liaise with clients to organise quotes, jobs, changes, and emergency works
Coordinate plant and machinery servicing, maintenance logs, and breakdown responses
Monitor project milestones, job costs, and completion timeframes
Manage ServiceM8 platform and digital job flow, ensuring accuracy and consistency
People & Performance
Build positive relationships with field teams, administration, and management
Conduct staff performance reviews, onboarding, and training documentation
Address performance issues confidently and professionally
Write and manage employment contracts, offers, and HR records
Finance & Reporting
Oversee accounts receivable and payable, banking, payroll, and BAS coordination
Reconcile receipts and invoices using XERO/HubDoc and maintain the Invoice Report
Manage timesheet approvals, wage processing via Xero and ANZ
Assist the Director with cash flow forecasting, budget tracking, and financial planning
Compliance & Quality Assurance
Complete and update SWMS documents, compliance logs, and contractor documents
Ensure company policies, WHS standards, and project documentation are up to date
Assist with tender submissions, documentation uploads, and platform communication (e.g., VendorPanel, QBuild)
Digital Systems & AI Integration
Identify, implement, and manage software and tools to streamline business operations
Use AI (e.g., ChatGPT, Adobe Firefly, Notion, Zapier) to reduce manual work across communication, content, and internal tasks
Develop digital workflows and automation where possible to support business scalability
Client Communication & Brand Presence
Answer phones, manage email accounts, and serve as the primary communication contact
Liaise professionally with high-value clients including councils, civil contractors, and private clients
Oversee social media post scheduling and proofing (content drafted by VA)
Required Skills & Experience
5+ years in operations, business, or general management
Strong knowledge of job scheduling, team coordination, and operational control
High-level organisational skills and a demonstrated ability to build systems from scratch
Professional communication skills – written, verbal, and client-facing
Strong working knowledge of Xero, Google Workspace, job management tools (e.g., ServiceM8), and cloud file systems (e.g., SharePoint)
Understanding of AI and automation tools for productivity
Financial literacy: confident handling budgets, payroll, invoicing, and reporting
HR experience including staff onboarding, compliance, and basic IR understanding
