About you:

In this key leadership role, you’ll take ownership of our internal operations and become the genius behind our engine room that powers our business forward. By refining systems, managing reporting, and streamlining onboarding and compliance, you’ll empower the team to focus on what they do best — delivering exceptional work.
You’ll work closely with the Managing Director to free up their time for strategic leadership and client relationships. That means stepping in with confidence, solving problems before they escalate, and creating clarity where things feel messy. You won’t just be maintaining operations — you’ll be refining them, building structure where needed, and implementing the processes that will take us to our next stage of growth.
We’re looking for someone who’s been in the trenches of a small to mid-sized business — someone who’s rolled up their sleeves, cleaned things up, and built systems that last. Experience in the construction industry (ideally structural engineering) will serve you well here.

We’re now looking for a confident and capable Operations Lead to take charge of the systems, processes, and day-to-day operations that support our growing team. This is a hands-on leadership role where you’ll work closely with the Managing Director to bring clarity, structure, and momentum to the business. Key accountabilities:
Attend weekly team meetings, document actions, and follow up with team members
Maintain and improve SOPs, including video and written procedures in Microsoft Loop
Support project management: update task lists, coordinate communication, and track project status
Keep project tracking tools, calendars, and action registers accurate and current
Identify and implement automation opportunities for project lifecycle management
Prepare quarterly KPI reports, schedule reviews, and provide insights for team discussions
Support our payroll officer with maintaining staff records including contracts, leave balances and requests
Manage internal compliance registers (e.g. WHS, policy reviews)
Coordinate recruitment activities: job ads, applicant screening, interview scheduling, onboarding
Monitor operational expenses, setup payments for director approval, and subscription renewals
Support financial reporting: extract data, review IT invoices, assist with budgeting
Maintain software registers, manage renewals, and assess cost efficiencies
Provide leadership and direction to the on-site Administration Assistant
Work with the Managing Director to improve internal systems and scale operations
Identify and implement improvements aligned with “Start With Why” and “Never Lose a Customer Again” principles
Skills & qualifications:
Attention to detail and ability to follow through on tasks accurately
High school certificate or equivalent;
Highly organised, independent, and proactive
Experience as an Operations Manager, Business Manager or similar related discipline for a small to medium size organisation where you have been required to clean things up, build structure from scratch and implement process.
Industry experience in the construction industry, ideally structural engineering, is strongly preferred
Proficiency in Microsoft Office Suite (Outlook, Word & Excel).
Proficiency in cloud systems: MS365, Sharepoint, Teams, WorkflowMax, Timeslice, Xero, Zendesk
Excellent organisational and time-management skills.
Clear written and verbal communication skills.
Ability to handle multiple tasks and prioritise effectively.
Professional demeaner with a customer focused attitude
Ability to work independently as well as part of a small team.
