The overview:

  • This extremely ambitious business provides marketing and consulting services to some of Australia's largest and well-known brands.
  • The Head of Operations was employee number 1 in the business (they’re now over 60 staff!) and due to some SERIOUS growth plans they now require an Operations Assistant to help out in the 'engine room' of the business - that being the area which looks after business-wide projects, customer & client support, systems/processes, ways of doing things etc – all to ensure they provide the highest level of service to their members and immense growth continues!
  • Whilst the Operations team is made up of seasoned professionals, they simply do not have the time to handle the range of operational admin tasks that can come through on a day-to-day basis, and are now searching for their ‘go-to Ops guru’...

The responsibilities:

  • Manage and coordinate multiple diaries and calendars. With your incredible attention to detail, you’ll be ensuring that the various calendars are run in the most efficient and smooth manner.
  • Event coordination - organise and prepare materials, agendas, minutes, catering, presentations and attendance registers for internal and external meetings and events.
  • Manage logistics such as meeting/venue bookings and AV equipment. These will vary from smaller internal events, to large client facing events (with hundreds of the latest and greatest Australian brands).
  • Streamline data entry and digital filing – use your superior organisation skills to keep everything up to date and accessible within the operations remit. You love systems and get a real kick out of creating efficiencies.
  • Become the go-to for the operations team – support with any administration tasks/document creation, expense management and travel booking.
  • Build strong professional relationships with both internal and external stakeholders – you’re not scared to pick up the phone and build rapport. You consider yourself a ‘people person’ and gain immense satisfaction from helping others.
  • You LOVE Tech - or you are at least not afraid of it - you certainly won't be coding or rebuilding a laptop but if you read between the lines - an entrepreneurial business is going to be an early adopter of software and new ways of working.

  • Prior experience with Wistia, Zoom and Skool is a huge bonus!
  • You are confident in maintain managing central filing systems for all administrative work using
  • You are driven to GET THE JOB DONE, are super ORGANISED and are meticulous with the DETAIL – you can't finish a day without your list for tomorrow.
  • Your client service skills are not just great, they’re EXCEPTIONAL and are coupled with a warm nature, sense of humour and a truly down-to-earth personality.
  • You will be based in/near Newcastle to allow for face to face training and ongoing collaboration. From time to time you may be required to visit Sydney HQ or attend company events.
  • Superior English written and verbal communication skills – you are confident to craft well-written emails on behalf of senior professionals.
  • Ability to work autonomously, employ initiative to find solutions, prioritise and exercise discretion.
