Location: Carlton, Victoria
Position Type: Part Time/Full Time (3-5 days a week)
About Us: The Child and Adolescent Neuropsychology Group (CANGROUP) is a leading provider of child and adolescent neuropsychological and mental health services. Our highly dedicated team of neuropsychologists is committed to supporting the well-being of children and families. We are currently seeking a professional, detail-oriented, and proactive Administration Coordinator to join our team and to play a key role in supporting the operations of our clinic. Our team are committed to providing the best possible care, and we are looking for a team member who is highly motivated to provide a caring, empathic, and professional approach to all clients. Ideally, you will have an interest in working with children, and neurodevelopment.
Key Skills Required
Demonstrated excellence in English language proficiency (VCE English score of 85+ or equivalent qualification/experience level)
Superior ability to translate complex psychological and clinical concepts into simple, parent-friendly explanations
Exceptional multitasking capabilities with the ability to manage numerous responsibilities simultaneously
Professional communication skills suitable for high-stakes conversations with concerned parents
Advanced problem-solving abilities and capacity to handle demanding requests with efficiency
Executive-level organizational skills and attention to detail in a fast-paced environment
Responsibilities: As a Senior Clinical Administrator at CANGROUP, your primary responsibilities will include the following. Please note: Experience in each of the areas below is essential.
Responsibilities
Patient Registration and Scheduling
Efficiently manage patient appointments, ensuring accurate scheduling and timely reminders
Schedule and coordinate neuropsychological assessments and follow-up appointments
Serve as the primary point of contact for families, providing compassionate and informative assistance with exceptional communication skills
Greet and assist patients and their families in a friendly and professional manner
Communicate complex clinical information to parents in clear, accessible language that is easy to understand
Respond to parent inquiries promptly and efficiently, providing accurate information on demand
Documentation and Record Management
Maintain accurate and confidential patient records in compliance with clinic policies
Assist in the preparation of intake forms and other necessary documentation
Assist in the preparation and organization of assessment reports
Handle multiple documentation tasks simultaneously while maintaining attention to detail and accuracy
Team Collaboration
Facilitate communication between neuropsychologists, therapists, and other clinic staff
Assist in organizing team meetings and events to promote collaboration and information sharing
Communication and Client Relations
Serve as a point of contact for phone and email inquiries, providing information and directing inquiries to the appropriate staff
Liaise with healthcare providers and other external stakeholders
Maintain professional communication standards when speaking with parents, demonstrating advanced interpersonal skills
Navigate complex and sensitive family situations with diplomacy and professionalism
Manage demanding situations with the efficiency and composure of a senior professional assistant

Billing and Payments
Assist with the billing process, including verifying insurance information and processing payments
Collaborate with the finance team to ensure accurate and timely invoicing
Handle multiple billing inquiries simultaneously while providing clear explanations to families
General Office Support
Manage office supplies, including ordering and restocking as needed
Support the administrative needs of the clinic, such as photocopying, filing, and maintaining a tidy reception area
Make a valuable contribution to the ongoing development of the business
Demonstrate advanced organizational and multitasking abilities comparable to senior executive support roles
Manage competing priorities and deadlines with precision and professionalism
You are highly skilled in Microsoft 365 and its associate suite of products including but not limited to Outlook, Excel, Word, Teams, Forms, Planner
Qualifications and Essential Skills
Proven experience (minimum 2 years) as an allied health, medical or legal administrative assistant.
Familiarity with medical or mental health office procedures.
Excellent organizational and multitasking abilities.
Strong communication and interpersonal skills.
High level of proficiency in Microsoft Office Suite and computer skills.
High attention to detail and accuracy.
Ability to multi-task and manage multiple demands.
Understanding of medical and medicare billing processes is advantageous.
