Machine Finance is a specialist boutique finance brokerage working closely with business owners across earthmoving, mining, transport, manufacturing, and other heavy industries.
We provide a high level of service to a growing base of repeat clients by managing their complex finance needs with efficiency and skill.
We’re looking for an experienced Senior Documentation & Settlements Officer with a proven background in equipment finance - either from a broker or bank environment. The right person will be ready to hit the ground running, taking full ownership of the documentation and settlements function while working closely with our small, tight-knit, and capable team.
You’ll manage everything from post-loan approval through to settlement and related administration. This role works directly with the firm’s director and operations manager, who bring over 30 years of combined equipment finance experience and are committed to supporting and growing with the right people.

What You’ll Be Doing
Preparing finance documentation for lenders and clients
Reviewing, checking, and lodging signed documentation with lenders
Liaising with funders, clients, suppliers, and internal stakeholders to coordinate accurate and timely settlements
Managing settlement checklists and keeping all parties informed throughout the process
Following up on missing items and ensuring all lender conditions are met
Maintaining accurate records and updating internal systems
What We’re Looking For
Minimum 2–3 years’ experience in an equipment finance brokerage or similar role with a bank or lender
Confident using multiple lender systems and portals
Solid understanding of KYC, AML/CTF requirements, and experience guiding clients through compliance processes
Familiarity with Equifax, the PPSR register, and CRM platforms
Able to work effectively with third parties (suppliers, insurers, private sellers, etc.) to collect necessary documentation
Proactive and confident in following up clients and stakeholders
Strong attention to detail - you’ll be the final check before lodging settlements accurately
Clear communicator with strong time management skills
Organised and calm under pressure, with the ability to manage multiple transactions at once
