As we continue to grow, we are looking for a meticulous and proactive Documents Administration Assistant to join our team. This role is crucial for managing our Document Management System (DMS) and ensuring the efficient handling of both physical and electronic documents.

Role Overview:
The Documents Administration Assistant will be responsible for overseeing the delivery and management of all documents within our DMS. This includes handling metadata, managing various inboxes, and providing essential support to the Reporting, Investment Data, and Advice teams. You will play a key role in maintaining our document organization processes and ensuring seamless access to information for all stakeholders.

Key Responsibilities:

Document Management: Ensure all documents are accurately saved in the DMS with correct Document Class and Metadata tags such as client, investment, and date.

Collaboration: Liaise with the Reporting and Investment Data teams to identify and manage any missing documents.

Procedure Development: Draft and contribute to internal procedures related to the DMS, including saving guides, naming conventions, and document delivery processes.

Inbox Management: Oversee and manage various inboxes by creating and managing rules, filing, and archiving as needed.
