A Snapshot of the role
Jack Engineering is currently seeking a proactive, upbeat, and detail-orientated Projects Coordinator to join our team. In this pivotal role you will be responsible for enhancing the internal connections and systems across our key departments, directly supporting our Projects, Operations and Fabrication teams, to ensure the smooth running of the office and the successful and efficient end to end delivery of our key projects.
We are seeking a candidate who presents with optimal communication skills, both verbal and written, adherence to company procedures, high multitask administration proficiency, and aligns with the core values of Jack Engineering.
This is a full-time position, and is an office based role, located at our Head Office in Hastings.

Eagerness to give it a go and demonstrate the ability to manage numerous administrative tasks at once.
Ability to implement authority and direction for the team, ensuring deadlines are achieved and administration processes are followed.
Willingness to learn new tasks and topics and demonstrate a proactive approach in getting involved in the day to day logistics of our operations.
Experience in a pre-site and project administrative role ideally within the building and construction/projects based industry.
Ability to initiate and manage the coordination of multiple internal coms relevant to our project needs with the various internal departments, suppliers and clients.
Desire to be a part of a growing business, ability to work autonomously within a decisive and outcome orientated team, taking ownership of your role, and providing the support to each of our departments as a means of achieving our required outcomes.
What you'll be doing
First point of contact for all office enquiries (answering phones and directing accordingly)
Managing various internal projects and operations related databases, systems and spreadsheets, ensuring up to date auditing; inclusive of change orders, purchase orders and other internal processes. Then further actioning and delegating tasks as required.
Management of project specific requirements such as employee tickets and licences, insurances and various inductions.
Assisting in the management of project costs inclusive of all purchase orders, payroll adjustments and change order approvals.
Ensuring relevant supplies/consumables, equipment and plans are correctly prepared for each install, in conjunction with Project and Operations Managers.
Supporting various project departments with management of scheduling site installations, deliveries and other logistical movements.
Uploading relevant IFC packages for fabrication, ensuring all prerequisites are met.
Creating daily run sheets based on scheduling requirements, ensuring all team members are provided with up to date information and instructions.
General day to day office administration tasks as directed by the General Manager.
