Our client, a leading signage specialist with over 50 years of experience in building brand presence, is looking for a temp to perm Project Coordinator to enhance their dynamic team.

Position Overview
As a Project Coordinator (PC) reporting to the Project Director, you will play a crucial role in optimising project delivery by providing essential support to Project Managers (PMs) within the same state, with occasional overflow support as needed. Your proactive approach and strong organisational skills will be instrumental in managing key project stages from inception to completion, helping to realise the company's vision of becoming the best signage provider of the 21st century.

Key Responsibilities

Deliver exceptional administrative support to Project Managers and team members nationally during peak times, including scheduling meetings, managing documentation, and assisting with day-to-day operations.

Monitor project plans to ensure that the state PM stays on schedule, facilitating the achievement of project deadlines and milestones.

Develop and maintain comprehensive project documentation, including project plans, reports, compliance documents, purchase orders, invoices, and contracts.

Act as a liaison for project communications, ensuring seamless interactions between teams and clients.

Process and analyse financial spreadsheets and schedules, preparing reports to support the State Project Manager and maintaining financial compliance.

Identify potential issues and implement solutions to keep projects on track and within scope.

Handle customer inquiries via phone, email, and web portals, ensuring prompt and professional responses.

Provide in-project support, including the creation of purchase orders, sales orders, and work orders as needed.

Collaborate with project managers to ensure ERP (Epicor) data is up to date in preparation for end-of-month invoicing.

Generate timely and transparent reports for various stakeholders, both internal and external.

Note: Responsibilities may evolve as the role develops.

Key Outcomes

Successful delivery of projects on time, in full, and without errors (DIFOTEF).

Reduced rework requirements.

Accurate data representation in Epicor and project management software.

Achievement of project department targets aligned with company and personal goals.

High levels of customer satisfaction.

Qualifications and Skills Required

Strong administrative background with excellent attention to detail.

Ability to handle interruptions and shift priorities effectively.

Experience working to tight deadlines in manufacturing, construction, transportation, and/or government project settings.

Understanding of commercial acumen and a client-centric approach.

Results-driven with effective communication skills.

Proven ability to manage large workloads while multi-tasking and working autonomously as well as part of a team.

Calm and efficient under pressure.

Proficient in Microsoft Suite, including MS Projects, SharePoint, Outlook, Word, Excel, and PowerPoint.

Valid Australian Driver’s License.

Desirable Qualifications

Qualifications in Project Management or Construction Management.

2-3 years of experience in Project Coordination, preferably in signage manufacturing or installation.

Ability to communicate technical information clearly to internal and external stakeholders.

Experience with project administration, technical specifications, and reporting.

Familiarity with ERP software, particularly Epicor, and tools like Smartsheet/Visio.

Experience with Aconex and other construction and government tender systems.

Knowledge of OH&S requirements relevant to construction and understanding of project management software.

NOTE: This is a temp to perm position with an immediate start based in Altona.
