Job Title: On-Site Event Manager
Location: Heidelberg West (Head Office), with travel to event venues as required.
Position Type: Full-time, Flexible Hours (weeknights, weekends, and occasional extended hours)
Position Overview:
We are looking for a highly organised and hands-on On-Site Event Manager to join our dynamic team. This individual will be responsible for the seamless execution of events at various venues, ensuring that all aspects of the event run smoothly from setup to teardown. This role requires someone who thrives in fast-paced, high-energy environments and enjoys being on the ground, taking charge of logistics, troubleshooting, and managing vendors, staff, and client needs in real-time.
Key Responsibilities:
Take full responsibility for on-site event operations, ensuring smooth execution from start to finish.
Oversee event setup and breakdown, ensuring all logistics are organised, including equipment, decor, catering, and staffing.
Coordinate with clients, vendors, and event teams to ensure all needs are met and the event runs according to plan.
Troubleshoot and resolve any on-site issues promptly to maintain the event's flow and client satisfaction.
Supervise and manage on-site staff, providing direction, guidance, and support throughout the event.
Maintain a strong communication line between the head office and the event site to ensure all changes, updates, or needs are addressed promptly.
Ensure all event-related equipment is in working order and arrange for necessary transportation of materials or assets.
Work flexible hours, including evenings, weekends, and potentially long hours, depending on event schedules.
Requirements:
Proven experience in event management or a similar role, with a track record of managing on-site operations.
Strong hands-on approach with a keen attention to detail and ability to handle multiple tasks at once.
Valid driver’s license and ability to drive company vehicles to transport event materials and staff.
Ability to work flexible hours, including weeknights, weekends, and potentially extended hours.
Exceptional problem-solving skills and the ability to remain calm under pressure.
Excellent interpersonal and communication skills, with the ability to work well with clients, vendors, and team members.
Ability to adapt quickly to changing circumstances and handle last-minute adjustments with ease.
Strong organisational skills and the ability to manage time efficiently.
Must have experience in the hospitality/events industry.
