About the Role:
Wheels of Wellness is seeking a reliable and proactive Practice Coordinator to join our team. This dynamic role offers the opportunity to support both the administrative and operational aspects of the practice while receiving mentorship to expand into leadership duties. The Practice Coordinator will work closely with the Practice Manager and provide essential support in day-to-day clinic operations, financial management, and patient service delivery. This is an excellent opportunity for someone looking to develop their skills and take on increasing responsibility.
Administrative & Operational Support
Provide daily support to reception
Cover reception duties as needed
Oversee inventory levels and manage clinic supply orders
Maintain patient records and ensure accurate data entry in Best Practice
Support onboarding and training of new team members
Monitor office tidiness, cleanliness, and basic facilities maintenance
Finance & Accounts Support
Assist with invoicing, reconciliations and supplier payments using Xero
Prepare summaries or reports for the Practice Manager or funders
Compliance & Quality Systems
Assist with implementation and maintenance of systems and policies
Support compliance with clinical standards, consent protocols and privacy obligations
Help prepare for accreditation, internal audits and quality improvement activities
Communication & Stakeholder Support
Assist with occasional stakeholder communication, social media posts, or feedback forms
Liaise with IT support or vendors for minor tech/admin system issues
About You:
Experience in medical, allied health, or community-based practice administration
Strong administrative and systems skills, including comfort with financial processes - preferably Xero
Proficiency with practice management software - preferably Best Practice
Excellent interpersonal and communication skills
Strong attention to detail and the ability to manage multiple tasks
A collaborative mindset with an interest in developing leadership capabilities
Ability to problem-solve and take initiative in a fast-paced environment
Willingness to step into varied roles as needed, from reception to operations
