The Role

The Project Support Officer (Clinical Placements) provides high-level administrative support to ensure the effective coordination of medical and nursing student placements into General Practice, by serving as a central point of contact for both the university and General Practice. The successful candidate will have a good understanding of the Australian health system, which is essential for effective administration and stakeholder engagement.

This position is 22.5 hours per week, with the ability for desired shifts to be negotiated with the successful candidate. Please note this is a fixed term contract to 30 November 2025, with potential to extend.

Responsibilities of the Project Support Officer (Clinical Placements) include:

Program Support and Documentation

  • Provide ongoing administrative support to the Clinical Placements team, contributing to the efficient management and continuous improvement of the program.
  • Prepare and collate placement documentation for each academic year and teaching block using tools such as Excel, Mail Merge, and Adobe.
  • Maintain accurate and up-to-date records across various databases and systems.
  • Support the development of tailored presentations and communication materials, including newsletters and flyers.
  • Maintain administrative documents relating to program processes, procedures, resources, and webpages.
  • Collate data to contribute to internal and external reporting requirements.

Placement Coordination

  • Assist with the allocation of student placements, ensuring alignment with university schedules and available General Practices.
  • Liaise with universities and General Practices to coordinate make-up, elective, and additional sessions as required.
  • Prepare and distribute required documentation to students, general practitioners, and practices.

Stakeholder Communication and Relationship Management

  • Manage incoming communications including phone calls and inbox enquiries, responding or escalating as appropriate.
  • Provide timely and clear communication to stakeholders, ensuring consistent program updates and documentation support.
  • Build and maintain effective relationships with key internal and external stakeholders including university academic leads, medical placement teams, nursing leads, and General Practice staff.

Meeting and Event Support

  • Support internal and external meetings and events, including room bookings, catering, and preparing materials.
  • Assist with the coordination and communication of event logistics and follow-up tasks.
  • Provide secretariat duties, including minute-taking and preparation of professional documents.

Selection Criteria

  • Proven ability to provide high-level administrative support, including experience in managing documentation, coordinating programs or projects, and maintaining accurate records using systems such as Excel, databases, and document management tools.
  • Excellent written and verbal communication skills, with the ability to liaise effectively and professionally with a wide range of stakeholders. Ability to manage enquiries, provide timely responses, and support effective information dissemination.
  • A working understanding of the Australian health system, particularly in relation to general practice or clinical education, to support effective placement coordination and informed stakeholder engagement.
  • Demonstrated ability to manage competing priorities, meet deadlines, and coordinate administrative tasks, while maintaining attention to detail and accuracy.
