About the role
We have an exciting new vacancy within our Team! The City of Swan is looking for a highly organised, extremely proficient Executive Assistant for our Executive Director Place Stakeholder Engagement.
This role provides a high level executive business support service to the Executive Director, and is the primary point of contact for Council members, partners, internal and external stakeholders and customers dealing with the Executive Director. This involves maintaining and managing an extremely busy calendar, proactively managing all correspondence received, preparing responses and briefing notes, and keeping the Executive Director appropriately updated. Research, data analysis and reporting are also important elements of the position.
Key Accountabilities include, but are not limited to;
- Proactively coordinating Divisional and Executive activities
- Undertaking a key liaison role between the Mayor, Council members, CEO, Executive Directors, business unit Managers and other major stakeholders
- High level diary and active correspondence management and coordination
- Providing efficient and prompt administrative support to meetings and functions
- Prioritising and providing responses and actions to all requests
- Undertaking research, analysing data and preparing reports and presentations for the Executive Director Community Wellbeing and Council
About you
The successful candidate will have the following:
- Relevant tertiary degree or equivalent experience
- Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with stakeholders
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- A satisfactory National Police Certificate is required.

The salary for this position will be from $81,628.92 to $96,391.46 per annum, depending on the skills and experience of the successful applicant.
