About Us

Farm Owners Academy, established in 2015, is a leading education and coaching organisation that empowers farming families to develop the business skills they need to build thriving farms and fulfilling lives. We do things differently here - from our remote work environment to our focus on personal growth, all while fostering a supportive and collaborative community and team culture.

About The Role

As an Executive Assistant, you'll play a crucial role in helping our two Directors be more effective by streamlining their schedules, anticipating needs, assisting with project administration, planning trips and freeing them up to focus on driving the company forward. You will also provide high level support to other members of the leadership team. Your support ensures every day is productive, impactful, and incredibly rewarding.

You'll Be Responsible For

  • Supporting the Directors: Provide varied support to ensure they are focused on high-priority tasks, being effective and efficient in their roles. Help to balance competing priorities, and look three weeks ahead to anticipate needs and allocate time for key tasks.
  • Executive Support: Provide high-level support by managing calendars, organising daily huddles, handling emails, booking travel, and preparing documents to keep Directors organized and efficient. Proactively raise important items with the Directors.
  • Meeting Coordination: Organise meetings across multiple time zones, prepare agendas in advance, take detailed notes, and ensure action items are captured and followed up promptly.
  • Inbox Management: Manage Directors' inboxes, ensuring urgent matters are flagged and handled while maintaining smooth communication channels.
  • Administrative Efficiency: Take care of day-to-day administrative tasks, ensuring operations run smoothly, and assist with ad hoc requests to support Directors’ needs.
  • Project Management: Support business growth initiatives by providing project administration assistance and ensuring milestones are achieved.
  • Additional Support to Leadership Team: Offer executive assistance to the broader leadership team as needed, including delivering special projects and initiatives.

What You’ll Bring:

  • You’re able to create structure: You’re comfortable with tasks that lack clear step by step instructions or predefined processes. Instead of being phased by ambiguity, you proactively take the initiative to define the steps needed, prioritise effectively, and create the necessary systems or frameworks to drive success. Your ability to bring clarity to undefined tasks ensures that things run smoothly, even in uncertain situations.
  • You have exceptional follow-through: You take pride in completing every task to the highest standard and go above and beyond by ensuring nothing slips through the cracks. When someone promises to follow up with you, you create systems to gently remind them, ensuring everyone stays accountable and efficient. Your proactive approach helps maintain momentum and keeps projects on track without being pushy or intrusive.
  • You’re organised - You have excellent organisational and time management skills. You are great at prioritising tasks with competing priorities, evaluating urgency, and allocate your attention where it’s needed most.
  • You are flexible and adaptable – you can adapt your style to ensure the best working relationship with the person you are supporting.
  • You're proactive - You don’t wait. You take initiative where you see opportunity. You look for ways to do more than expected and go the extra mile! You problem solve – if something is not right, you look for ways to fix it.
  • You're precise - You have meticulous attention to detail and ensure high levels of accuracy.
  • You're a confident communicator – You can craft clear, concise messages and represent the voice of our leadership team with professionalism and warmth. You’re able to match the tone of the person you are representing and you are confident liaising with senior stakeholders.
  • You're professional – You have a high degree of integrity & professionalism. You understand the importance of confidentiality and handle sensitive information with care and integrity.
  • You're self-motivated – You will be working from home, so you must be self-motivated & driven. You love getting stuff done and ensuring tasks are completed to a high standard with extremely high follow through!

Requirements:

  • At least 3+ years of experience in a PA or EA role supporting a manager or management team.
  • The ability to work as part of a remote but high-performing team.
  • Computer literate with excellent proficiency in the Microsoft Office suite – and able to quickly learn and adapt to new programs and software.

You’re passionate about sales, love the rural lifestyle, and want to work with a team that’s redefining what’s possible for farm businesses—we’d love to hear from you.
