As the Executive Support Officer you will provide high level, efficient, professional, and confidential executive administrative support to the Senior Director, Programs.
What you'll do
You will:
- Coordinate the workload priorities of the Senior Director, reading email messages and prioritising actions, ensuring the development and maintenance of efficient follow-up and record management systems.
- Assist in correspondence tracking.
- Organise and co-ordinate statewide travel arrangements including flights, accommodation and car hire.
- Organise and co-ordinate the recruitment process for staff as directed by the Senior Director, including arranging interviews and preparing, collating, and distributing associated recruitment documentation.
- Provide secretariat support including coordinating meetings, developing and distributing meeting agendas, minute recording and distribution, following up any action items and collating and distributing any necessary documents.
About you
We are searching for someone who has:
- Experience in providing executive level administrative support in accordance with government policies and procedures.
- Proven ability to work autonomously, problem solve and provide sound options or recommendations.
- Proven ability to work as a team member by planning, organising and monitoring a diverse range of activities to achieve timely outcomes.
- Sound knowledge of Microsoft Office, Work, Excel and Power Point, and the ability to rapidly acquire knowledge of other software packages as required.
- Well-developed communication and interpersonal skills, with a proven ability to liaise effectively within the senior management environment and to maintain confidentiality.
