We're Hiring: PA / Operations Administrator (School Hours Friendly – On-Site Role)
Location: Osborne Park, WA 6017 | Type: Part-Time or Full-Time (Flexible School Hours Available)
Are you highly organised, proactive, and thrive in a fast-paced environment where no two days are the same? We are looking for a PA / Contracts Administrator to support our Managing Director and Site Supervisor in running the day-to-day operations of our projects with precision and care.
This is a dynamic, on-site role that will see you as the right hand to our leadership team, making sure all moving parts of our project calendar run smoothly.
What You'll Be Doing:
Provide daily PA and administrative support to Mark (MD & Scheduler) and Chris (Site Supervisor).
Manage and update job calendars, ensuring trades, site activity, deliveries, and pickups are scheduled and communicated clearly.
Triage and respond to all customer phone calls, providing timely and accurate information or escalating appropriately.
Handle difficult customer conversations and coordinate with trades and suppliers with professionalism and empathy.
Issue accurate, timely instructions to the warehouse for packing, deliveries, and pickups.
Maintain clear communication between teams to ensure jobs are completed on time and to standard.
Key Success Indicators (KPIs):
Production Revenue Support – Help achieve monthly production revenue targets by managing the calendar efficiently and proactively filling schedule gaps.
Job Cost Efficiency – Ensure ≥95% of jobs are completed within target cost margins through timely scheduling and coordination.
Workforce Utilisation – Keep less than 1% of staff unallocated (“on the bench”) by maintaining job flow and technician productivity.
Calendar Accuracy – 100% of job and schedule updates reflected in the calendar within 30 minutes of confirmation.
Customer Responsiveness – Respond to 95% of customer calls within 1 business hour and resolve or escalate all queries within 24 hours.
Warehouse Instruction Accuracy – 100% accuracy in issuing delivery, pickup, and packing instructions with 0 monthly errors.
Communication – 100% of job updates are communicated to relevant parties on the same day.
What We're Looking For:
A proactive, highly organised professional who takes ownership and can juggle multiple moving parts.
Previous experience as a Personal Assistant, Project Administrator, Scheduler, or similar operations role.
Confident communicator who can manage challenging conversations with customers and trades alike.
A calm, problem-solving attitude and the ability to work independently in a fast-moving environment.
Strong digital skills and the ability to work with calendars, spreadsheets, and admin systems.
School-friendly hours available, but presence on-site is essential.
