Your role at St John of God Midland Hospital
In this role you will be responsible for providing a high standard of secretarial and administrative support to our Hospital Management Commitee including our Chief Allied Health Officer and Director Medical Services
The Position
Proactively provide a high level of personal assistance, secretarial and clerical support to Directors through the following functions:
- Maintaining confidentiality.
- Answering and screening phone calls.
- Managing the Director's diary.
- Prioritising and distributing incoming mail.
- Preparing replies to both internal and external correspondence.
- Undertaking word processing, spread sheeting, and PowerPoint functions as required.
- Arranging meetings, ensuring catering, secretarial and other support services are provided.
- Minute taking at meetings and follow-up as required.
- Organising travel, vehicle hire and reserve accommodation directly with preferred suppliers.
- Maintaining a flexible attitude to the daily schedule to address unexpected changing priorities.
- Initiating and contributing to improvements to administrative systems.
- Entering daily productivity into the productivity tool and completing reconciliation against payroll on a fortnightly basis and assisting Departmental Secretaries with the same as required.
- Maintaining, processing and updating the professional development reimbursement for Drs.
- Processing, approval and management of all Drs accounts and those that fall under the Medical remit.
- Assisting with the management of Excluded Procedures.
Position Requirements
We're looking for an experienced and highly organised professional with a background in secretarial or personal assistant roles, supported by a Certificate in Secretarial Studies or equivalent experience. You'll bring strong skills in typing (65+ wpm), document control, data entry, and advanced MS Office, along with a proven ability to take accurate meeting minutes and work well under pressure.
To succeed in this role, you'll have excellent interpersonal and written communication skills, with the ability to liaise professionally with executives, managers, caregivers, and the public. You'll be confident drafting emails, letters, reports, and memos on behalf of directors, while upholding a high standard of professionalism and confidentiality in all documentation.

- Salary: $82,617 to $84,255 per annum, plus 11.5% superannuation
- Permanent full-time position working up to 76 hours per fortnight
