Our client, Australia & New Zealand, is seeking a highly motivated and adaptable individual to join their team in Campbellfield. This dual role plays a crucial part in ensuring exceptional customer service and supporting their operations team.
The Opportunity
As a Customer Service / Operations Admin Assistant, you will be the first point of contact for our client's valued internal and external customers, providing a high standard of service whilst supporting the wider Campbellfield Operations team as required. This role offers a dynamic environment where your problem-solving skills and attention to detail will be highly valued.
Key Responsibilities:
Customer Service:
- Handle incoming phone calls and direct inquiries, providing exceptional customer service.
- Greet customers in a friendly and professional manner to ensure a positive first impression.
- Perform data entry for Quality Assurance (QA) certificates using Microsoft Excel, ensuring products meet required standards before dispatch.
- Verify orders to ensure readiness for dispatch and process shipments on VCC Max.
- Coordinate and arrange freight, identifying and resolving any related issues to ensure timely and accurate delivery.
- Proactively identify and resolve system errors before invoicing to ensure accurate order fulfillment and billing.
- Accurately complete and submit National Rework, Customer Feedback, and Rework forms.
Operations:
- Conduct monthly stocktakes or as required, including placing orders to maintain appropriate inventory levels.
- Arrange sampling and delivery for process testing as per frequency requirements.
- Compile and maintain relevant registers for data collection.
- Manage the rapid induction process for site visitors and contractors.
- Actively promote Health and Safety, including exercising Stop Work Authority when unsafe actions are observed, and ensuring visitors are inducted or escorted and follow our client's H&S policies.
What You'll Bring:
- Proven background in a similar Customer Service and/or Operations role, with some exposure to Engineering Admin.
- Exposure to the steel, fabrication, or manufacturing industries is highly regarded.
- Advanced proficiency in Microsoft Office Suite (Excel for data analysis, Word for documentation, Outlook for communication).
- Proficient in ERP systems like QAD and VCCMax for streamlining inventory control, order fulfillment, and scheduling processes to ensure accuracy and efficiency.
- Strong ability to identify and implement process improvements to drive higher efficiency, cost reductions, and enhanced service delivery across operations.
- Exceptional attention to detail, maintaining accuracy and consistency while adapting quickly to new information and tasks.
- Strong communication skills, both verbal and written, with a talent for engaging with internal teams, external stakeholders, and clients.
- Ability to manage conflicting priorities, organize tasks efficiently, and stay focused in fast-paced, high-pressure environments to meet deadlines and drive results.
- Highly adaptable to change, embracing new technologies, processes, and business needs with a flexible and positive approach.
- Proven ability to perform well in dynamic, high-energy environments, using quick decision-making and agility to manage the requirements of the role.
- A strategic approach to creative problem-solving under tight deadlines.
