Position Overview: We are seeking a highly motivated Administration Officer to join our team. The ideal candidate will possess excellent communication skills with a strong phone manner and the ability to problem-solve effectively. This role involves working closely within our existing team responsible for providing essential administrative support to ensure the smooth operation within our company. If you have an eye for detail, excellent organisation skills and passion for helping others, we want to hear from you!
This is a full-time position Monday to Friday 11am-7pm and is located at our Seaford Office, must be willing to travel to/from this location.
Initial training will be office based, with the opportunity to partially work from home once fully trained.
Key Responsibilities include, but not limited to:
Handling incoming enquiries and providing information about our services in a professional and courteous manner
Proactively identifying and resolving issues or concerns raised during phone conversations or email communication, displaying strong problem-solving skills and ability to think quickly on your feet
Collaborating with team members to streamline office procedures and workflows, ensuring effective communication channels are maintained both internally and externally
Maintaining updated employee/client records and databases with accuracy and confidentiality
Assisting with the preparation and maintenance of reports, internal audits and other documents as needed
Coordinating and maintaining office supplies and activities to ensure efficiency and compliance with company policies
Afterhours phone duties between 5pm-7pm - once trained
Performing other administrative tasks and projects as assigned
Requirements:
Proven experience in an administration role or similar role would be an advantage, willingness to learn and contribute to team success
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and cloud-based software, with the ability to learn new systems and technologies quickly
Excellent organisational and time management skills
Strong attention to detail and accuracy
Excellent written and verbal communication skills
Confident phone manner with the ability to problem solve
Ability to multitask and prioritise tasks effectively
Ability to work independently and cooperatively as part of a diverse team
Discretion and confidentiality when handling sensitive information
A positive and proactive attitude with a willingness to learn and take on new challenges
