About the Role:
We are currently seeking a motivated and organised office administrator to cover maternity leave for 6 months. This role is responsible for general office responsibilities including reception and building strong relationships with internal stakeholders in both Perth and Melbourne.
Type: Temporary, Part-time (21-25hours per week with flexibility to accommodate individual circumstances)
Days: Monday to Friday (4-5 hours per day) or 3 days per week (7 hours per day)
Normal Office Hours: 9:00 AM – 5:00 PM (with a 1-hour unpaid lunch break)
Position Duration: 6 months
Hybrid working: Up to 1 day a week work from home arrangement
Key Responsibilities:
The position will cover all aspects of office co-ordination including reception, purchasing of stationery, and organising all social events such as birthday cakes and the office Christmas Party. Assist with Accounts data entry and reconciliations.
Manage reception duties to include telephones, visitors, couriers, and TV display screens. Also ensure professional look and feel of the reception area and ensure all visitors are inducted
Assist with general administration of office to include, but not limited to, stationary orders, food/milk orders, Company branded uniform orders, Australia post
Raising of Purchase Orders in the ERP system
Registration of fixed assets and related documentation
Gathering of information to update master data for supplier and customer registrations
Reconciliation of corporate credit cards on a monthly basis
Manage Finance inbox; distribute mails as required for approval by the relevant department, supplier statement reconciliation and replying to supplier queries
Assisting with supplier invoice coding and approvals
Maintain minutes of meetings as required by Country Manager
Other ad hoc duties as requested by Finance Manager, Service Manager, and Country Manager\

Experience
Previous experience in a similar role
Purchase order experience (Preferred)
Skills
Microsoft Office Suite proficiency
