A rare opportunity has arisen for an experienced and motivated Administration Coordinator to join a well-established professional services firm located in Melbourne. This is a full-time, permanent position reporting directly to the Practice Manager. In this key support role, you will be responsible for coordinating administrative operations and ensuring smooth and efficient records management across the practice. This role also requires occasional reception relief, so flexibility and a team-first attitude are essential.
Key Responsibilities:
• Coordinate the administration and records management functions
• Maintain and improve administrative systems, processes, and manuals
• Oversee scanning and archiving projects
• Manage electronic filing systems and software tools
• Assist with client document preparation and collation
• Ensure confidentiality and accuracy in document handling
• Maintain a clean and organised work environment
• Provide ad hoc administrative support as needed
• Provide reception relief from time to time
About You:
• Previous experience in a professional environment – ideally within accounting or legal is beneficial
• Tech-savvy and comfortable navigating various software systems
• Quick to learn and able to follow procedures precisely
• High attention to detail with excellent time management skills
• Reliable, adaptable, and proactive with a can-do attitude
• Strong communication skills and a collaborative mindset
• Understands and upholds the importance of confidentiality
