We, the team at Northside Electrical Contractors, are looking for a confident Administration Assistant to work side by side with the Business Manager and take control of the administration and systems side of running the business. You’ll need to be confident in Microsoft Office and comfortable with cloud-based software to take on the systems we already have in place, have the communication skills to get what we need from our internal team and external partners, and have the self-drive to ensure regular weekly and monthly administration tasks are flawlessly completed.
Based in our office in East Brunswick with great transport and parking options nearby, we have advertised this role as a casual position (2 days per week, 8 hours per day) but we expect this will grow into a part-time or full-time role in the near future. While you will predominantly be in the office, we are very conscious to ensure you are part of the great team culture that has been created at Northside Electrical, interacting daily with the site team and management.
Our Melbourne branch over the past 8 years has built a strong, tight-knit team of over 80 employees with a focus on Commercial & Industrial Projects within the Education, Health and Government sectors. Providing end to end solutions with in-house design, communications certifications, dry-fire & security division complimenting our conventional electrical light & power offerings - a true end to end electrical contractor.
The right person for this position will be a positive individual who finds satisfaction in ticking things off and getting them done both accurately and efficiently. You’ll present with a friendly disposition in written and verbal communication, but won’t be afraid to speak up when you feel change is needed or if you have a better way of doing things. You’ll have an awesome work ethic, well organised, highly self-motivated and above all else care that your efforts will make a real difference to the team at Northside Electrical.
You’ll have a varied and interesting role that includes but not limited to the following:
Job Administration
Ongoing and daily management of our Job Management System, simPRO as well as our Scheduling System Deputy.
Timesheet approvals and preparation of payroll report. Monitoring of standard working hours, overtime, allowances, RDOs as well as apprentice schooling.
Management of all Apprenticeship paperwork (Sign ups, Tafe enrolments, training card approvals, course fees, school days, exams etc)
Ensure all staff tickets/licenses are up to date
Inducting employees in Hammertech
Liaise with Management to schedule in employee Performance Reviews
Tracking of devices (Computers, Printers)
Assist in management of Workcover, Protect, LeavePlus claims.
Medallion Club – Management of membership and tickets
Office Administration
Use of Microsoft package – Ensuring all Google Drive folders are organised
Maintain the office in good working order i.e. stationery, computers, printers, sorting deliveries etc
All adhoc office/admin duties provided by Management (Printing, binding, laminating, cleaning, data entry as required)
Main contact point for Northside Electrical (answering calls, emails etc).
Assist in management of vehicles. i.e. Etags, Insurances, Fuel cards
Arrange miscellaneous tasks for the team e.g. Xmas party, Toolbox meetings, Accommodation requirements, uniforms, etc.
