About the role
Reporting to the Clinician Administration Manager, the Clinician Administration Executive is responsible for providing and coordinating operational administrative support to GFA clinicians across the Gidget House and Start Talking programs. This role works collaboratively with the Clinician Administration Manager, fellow Clinician Administration Executive, and the Client Services team to ensure the smooth, professional, and efficient operation of all Gidget House locations.
Key Accountabilities
• Act as a first point of contact for Gidget House and Start Talking clinicians.
• Manage clinicians’ enquiries received through the [email protected] inbox, via phone, and/or via the Task function on CareRight; liaising with clinicians, and ensuring requests are handled in a timely manner.
• Manage the logistics related to the commencement of new Gidget Clinicians and/or the exit of existing Gidget Clinicians, including the set-up and training of new clinicians in our electronic medical records (EMR) software (CareRight).
• Facilitate training for clinicians across all GFA systems to ensure confident, efficient, and effective system use.
• Regularly manage clinician caseloads to ensure records of active clients remain current and well-organised.
• Manage IT issues from our EMR software (CareRight), as well as Medicare and bulk-billing issues as they arise.
• Manage and respond to Gidget Clinician enquiries in a timely manner, including roster changes, invoicing enquiries, cancellation fee requests, etc.
• Receive and review clinicians’ new client availability to ensure it aligns with GFA criteria, and update the availability board accordingly (currently managed via Monday.com).
• Coordinate clinician invoicing for submission to the Finance team, ensuring the Compassionate Funding tracker is accurate and up to date.
• Provide support to supervisors in troubleshooting and resolving issues related to the Supervision Management Software.
• Support the Clinician Administration Manager and Client Services Team Manager with team administration tasks such as rostering, training and ad-hoc tasks as required.
About you
While no direct experience in psychology practice is required, our Clinician Administration Executives are first and foremost clinical administration professionals. Previous healthcare administrative experience as well as an understanding of Medicare’s Better Access Initiative will be highly regarded.
You will have:
• Proficiency in Practice Management Software, Microsoft Office and/or MacOS equivalent programs.
• Strong computer literacy and an openness to technological change.
• Exceptional interpersonal skills, with the ability to build rapport and effectively communicate with clinicians and clients on a daily basis.
• The ability to work well as part of a team.
• The ability to thrive in a fast-paced environment.

Terms of Employment
This position is full-time (Monday- Friday), based at Gidget House North Sydney, with some opportunity to work flexibly, subject to organisational needs. This role will initially be contracted until 26 June 2026, aligned to Grant Funding with the option to extend, subject to ongoing funding.
