The Office Manager plays a pivotal role in ensuring the seamless operation of the office, providing essential IT support, maintaining office facilities, supporting executive management, and overseeing the administration of ICT, expenses, and logistics.
This multifaceted position requires a candidate who is well-organised, reliable, and self-motivated, with excellent interpersonal skills to engage and support the team effectively. Reporting to the General Manager, the Office Manager will oversee various key functions crucial for the seamless functioning of Agsafe, including financial monitoring, WHS, staffing, and administration. This role requires a proactive, highly organized, and self-motivated individual with excellent interpersonal and technical skills.
Key Responsibilities
Office Maintenance and Administration
Oversee office operations, including staff movements
Manage office supplies, equipment procurement, and inventory control.
Ensure a well-maintained and organized office environment.
Handle incoming and outgoing mail, courier services, and document archiving.
Supervise staff workspace allocations and maintain an equipment register.
IT Support and Management
Act as the primary point of contact for IT issues, ensuring prompt troubleshooting and resolution.
Oversee IT infrastructure, including software licenses, telecommunications, online platforms, and office equipment.
Manage IT software subscriptions, renewals, and vendor relationships.
Coordinate with external IT providers for system upgrades, maintenance, and troubleshooting.
Oversee IP tracking and domain management to ensure security, compliance, and continuity of digital assets.
Executive Support Services
Provide comprehensive administrative support to senior management, ensuring seamless communication and task coordination.
Manage executive calendars, scheduling meetings, and handling travel arrangements.
Assist in the preparation of reports, presentations, and correspondence.
Handle expense management, including credit card reconciliation and financial documentation.
Ensure confidential handling of executive and organizational information.
Staff Onboarding and Training
Oversee the onboarding process for new employees, ensuring they have the necessary tools, access, and information.
Coordinate IT setup, office access, and initial orientation for new hires.
Provide training on office policies, IT systems, and administrative procedures.
Act as a point of contact for new employees to support their transition into the organisation.
Maintain and update training materials and onboarding checklists to ensure consistency and efficiency.
Expense Management
Administer and monitor all organisational subscriptions, licenses, and contracts.
Monitor and manage office expenses, ensuring cost-effectiveness and budget adherence.
Process and reconcile invoices, credit card statements and purchase orders.
Liaise with finance teams to ensure timely payment of office-related expenses.
Logistics and Event Coordination
Oversee travel logistics, including flight and accommodation bookings, travel insurance, and corporate travel accounts.
Manage venue bookings, catering, and RSVPs for corporate events and conferences.
Ensure smooth coordination of staff travel, transport services, and courier management.

Experience & Qualifications
Proven experience as an Office Manager, IT Coordinator, or Administrative Lead.
Strong proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, SharePoint, Teams).
Excellent problem-solving and time management skills.
Strong written and verbal communication abilities.
Ability to multi-task, prioritize work, and maintain high attention to detail.
Experience managing budgets, expenses, and office logistics.
Familiarity with IT troubleshooting, software licensing, and expense management.
