As our team and operations continue to grow, we're looking for a enthusiastic and proactive Administrative Assistant who will play a central role in keeping the business running smoothly across finance, operations, executive support, and front-of-house functions.
Your Role at a Glance
This role is ideal for a detail-oriented, reliable, and organised person who thrives in a multi-faceted environment. You’ll work closely with our executive team and office leadership to ensure day-to-day operations are seamless, communications are clear, and our internal processes are well-supported.
Key Responsibilities
💼 Business & Finance
Assist with data entry and business reporting as required
Manage claims and cancellations
Generate and process invoices
Support payment processing
Basic financial tasks
Maintain internal process documentation and office procedures
🏢 Office & Facilities Management
Oversee general office operations
Liaise with property managers and coordinate external vendors
Ensure a clean, safe, and well-maintained work environment
📞 Front-of-House & Communication
Act as the first point of contact for visitors, phone calls, and emails
Handle office communications, internal updates, and correspondence
🧑💼 Executive & Team Support
Provide administrative support to senior leadership
Schedule and coordinate meetings, travel, and internal events
Manage catering and logistics for company gatherings
Support new staff onboarding
What We’re Looking For
Desired Experience:
1+ years in business administration, executive assistance, or office coordination.
Accounting software (e.g. Xero)
Technical Proficiency: Microsoft Office (Excel, Word, PowerPoint)
Skills & Attributes:
Excellent verbal and written communication
Strong attention to detail and time management
Ability to multitask and adapt to shifting priorities
A proactive, solutions-focused mindset
