About the business

An agency in Redfern is on the hunt for a skilled Business Operations & Sales Support Partner to come on board and manage the day to day operations of their high performing sales team. This is a dynamic, hybrid role requiring more than traditional front desk duties — you will also play a pivotal role in supporting our Sales and Property Management teams. From listing coordination and compliance support to managing key documentation and helping the office run smoothly, this is an ideal role for a confident all-rounder who thrives in a fast-paced real estate environment.

About the role

Warmly welcome all clients, tenants, and visitors with a professional and approachable manner.

Prepare, format, and distribute listing and sales documents, including agency agreements, contracts, and appraisal packs.

Coordinate pre-listing requirements such as photography, floorplans, signage, compliance certificates, and campaigns.

Assist with the launch of new properties, including uploading listings to portals and real estate platforms (VaultRE, Agentbox, Domain, REA, etc.).

Manage buyer enquiries, track open home attendance, and support agents with follow-up.

Assist with drafting and sending lease agreements, renewals, and routine notices.

Help manage tenant applications, reference checks, and onboarding procedures.

Support compliance documentation for properties including smoke alarms, insurance, pool certificates, and safety checks.

Monitor and replenish office supplies and marketing materials.

Handle incoming/outgoing mail, parcels, and couriers.

Liaise with suppliers and contractors for office maintenance needs.

Process basic invoices and liaise with the accounts team as needed.

Skills and experience

Proven experience in a real estate receptionist, sales administrator, or property management support role.

In-depth knowledge of real estate software and platforms including:

Agentbox, VaultRE, PropertyMe (PME), RealTime Agent, Before You Bid, CampaignAgent, ActivePipe, and Brand Central.

Exceptional written and verbal communication skills to interact effectively with clients, tenants, and internal teams.

Strong ability to multitask, prioritise, and stay calm under pressure in a high-volume office environment.

Confident using Microsoft Office Suite (Word, Excel, Outlook), cloud-based platforms, and CRM systems.

Demonstrated problem-solving ability, initiative, and a collaborative, can-do attitude.

Professional personal presentation, punctuality, and time management skills.

Experience in supporting both Sales and Property Management departments.

Knowledge of NSW real estate legislation, lease documentation, and compliance processes.

Must have Certificate of Registration
