We are a growing, multi-site dental group committed to delivering high-quality patient care through streamlined systems, professional teamwork, and clinical excellence. As we expand, we are seeking a Practice Manager & Executive Assistant who can work directly alongside the CEO/Principal Dentist to manage daily operations and absorb critical responsibilities, enabling the CEO to focus on strategic growth and leadership.
Role Purpose
This is a strategic hybrid role designed to duplicate and offload CEO-level responsibilities across the business. You will act as the CEO’s right hand, taking ownership of both operational management of the practice and executive-level coordination, enabling seamless execution of priorities across the group. You will ensure that business functions continue efficiently without needing the CEO’s direct input at every stage.
Key Responsibilities
1. CEO Support & Strategic Execution
Work closely with the CEO to duplicate and action strategic directives across sites
Represent the CEO in internal matters and relay decisions across departments
Follow up with team leaders and department heads on CEO’s instructions and timelines
Manage the CEO’s calendar, communications, priorities, and confidential matters
Prepare presentations, proposals, reports, and business documentation for the CEO
Track key performance indicators and compile data for CEO decision-making
Coordinate external stakeholder communication, including legal, HR, IT, and marketing
2. Practice Operations Management
Oversee end-to-end daily practice operations across multiple clinics
Supervise front desk and administrative teams to ensure policy adherence and efficiency
Manage staffing requirements, leave schedules, and onboarding for new hires
Ensure compliance with health regulations, infection control, and HR protocols
Maintain optimal appointment book flow and resolve scheduling gaps
Review and approve timesheets, rosters, and leave in systems such as Employment Hero
Ensure stock control, equipment servicing, and overall clinic readiness
Resolve patient issues/escalations and support a high standard of customer service
Ideal Candidate Profile
3–5+ years of experience in dental practice management or business operations
Proven experience supporting a business owner, CEO, or senior executive
Strong understanding of HR, compliance, scheduling, and dental software (CareStack or Dental4Windows)
High accountability and ability to make decisions in alignment with CEO directives
Excellent written and verbal communication skills
Discretion, diplomacy, and the ability to manage sensitive information
Driven, highly organised, and solution-oriented with a passion for leadership
