The Accounts & Payroll Officer is responsible for managing the day-to-day financial operations of the Wama Foundation, including accounts payable and receivable, payroll processing, bank reconciliations, and financial reporting. This role ensures timely and accurate financial administration in line with compliance requirements and organisational policies.
In addition, the position provides Company Secretary support to the Wama Foundation Ltd Board, including preparation and distribution of Board papers, maintaining statutory registers, coordinating meetings, recording minutes, and ensuring governance obligations are met.
The role requires a high level of attention to detail, strong organisational skills, and a clear understanding of financial and governance processes. Working closely with the CEO, the Accounts & Payroll Officer plays a key role in supporting Wama’s efficient operations and good governance as the organisation grows.
Key Accountabilities:
Manage accounts payable and receivable processes, including timely payment of bills and accurate invoicing.
Report and monitor weekly cash flow to support financial oversight and decision-making.
Prepare and lodge quarterly Business Activity Statements (BAS) in line with ATO requirements.
Process and report Single Touch Payroll (STP) on a fortnightly basis, ensuring compliance with employment and tax obligations.
Maintain the company’s accounting system (transitioning to Xero post 1 July), ensuring accurate and up-to-date financial records.
Perform regular bank reconciliations and assist with monthly financial reporting.
Support the preparation of annual budgets and financial audits in collaboration with the CEO.
Organise and liaise with auditors on an annual basis.
Ensure compliance with relevant financial legislation, policies, and procedures.
Coordinate Board and committee meetings, including scheduling, agendas, and distribution of papers.
Record accurate minutes of Board meetings and maintain official records.
Ensure compliance with statutory and governance obligations, including ACNC and ASIC requirements i.e. reporting new Directors and Director resignations.
Maintain the Wama Foundation's statutory registers and filings.
Support the CEO and Chair with governance best practices and reporting.
Other relevant information:
The successful applicant will be subject to a six-month probationary period.
Employment will be subject to a National Police Check and Working with Children Check.

Essential Selection Criteria:
Demonstrated experience in accounts administration, payroll processing, and financial recordkeeping.
Strong understanding of Australian accounting and payroll standards, including superannuation, BAS, PAYG, and STP reporting.
High level of attention to detail and accuracy in financial data entry and reconciliation.
Experience coordinating governance and compliance requirements, including board meeting support and minute-taking.
Excellent organisational and time management skills, with the ability to meet deadlines and manage competing priorities.
High-level written and verbal communication skills, including the ability to prepare clear and accurate documentation.
Strong computer literacy, including proficiency with accounting software (e.g. Xero or MYOB), Microsoft Excel, and document management systems.
Ability to work independently and maintain confidentiality in a professional and ethical manner.
Desirable Selection Criteria:
Formal qualifications in accounting, bookkeeping, or business administration.
Previous experience in a similar role within a not-for-profit, arts, environmental, or charitable organisation.
Familiarity with ACNC, ASIC, and other relevant regulatory bodies.
Understanding of board governance frameworks and company secretary responsibilities.
Experience working with external accountants or auditors.
Interest in Wama’s mission and a commitment to environmental or arts-based values.
