About the Comapny:
A well-established and privately operated commercial building business is seeking an experienced Accounts / Office Manager to join its busy Head Office in Thornbury on a part-time basis (3 days per week). With over 25 years of success delivering interior fit-out and maintenance services to a broad client base across Victoria, the business is continuing to grow.
This role offers flexibility — hours can be condensed into 3 full days or spread across 4–5 shorter days to suit your schedule.
The Opportunity:
This is a varied and hands-on position suited to a confident, multi-skilled professional with a background in accounts and office management. Working closely with the Directors and Project Managers, you'll be responsible for overseeing invoicing, supplier accounts, office systems, and administrative coordination.
Key Responsibilities:
Manage and maintain client invoicing and incoming supplier/contractor invoices
Process creditor invoices via Dext and monitor account status
Oversee debtors and ensure timely collection in line with company policy
Liaise with the company’s accounting firm to coordinate invoice and wage payments
Support project workflow by processing and closing daily work orders
Maintain electronic filing systems (quotes, supplier info, job files, OH&S files)
Ensure smooth internal communication and workflow
Assist in tender submissions, quotes, and general admin support
Help streamline office systems and coordinate administration procedures
Manage office inventory within budget
Prepare weekly agendas for operations meetings
About You:
Minimum 5 years’ experience in office and accounts management
Minimum 5 years’ experience with MYOB
Strong admin skills with a high level of accuracy and attention to detail
Positive, proactive mindset with the ability to multi-task and prioritise
Excellent communication and interpersonal skills
Comfortable working both independently and within a team
Strong problem-solving and organisational skills
