APS-Level Administrative Coordinator
Location: Canberra, ACT
Contract Type: 12-month Labour-Hire with two 6-month extension options
Security Clearance: Baseline

Your new role
As an Administrative Coordinator, you will play a key role in supporting a cross-agency negotiations team. You will be responsible for a range of coordination and administrative functions that are critical to the success of the program. Your duties will include:
- Meeting Coordination:
Liaise with stakeholders across all levels of government to schedule and coordinate meetings. Prepare and distribute agendas in advance to ensure effective engagement. - Minute Taking and Documentation:
Attend meetings, take accurate and detailed minutes, and distribute them promptly to ensure clarity and accountability. - Action Tracking:
Monitor and follow up on action items to ensure timely completion. Maintain communication with team members to gather updates and progress reports. - Presentation Support:
Assist in drafting and formatting presentations for meetings and events, ensuring they are professional and aligned with key messaging. - Register Management:
Maintain and update key registers including risk, decisions, and issues to support effective governance and reporting. - General Administration:
Provide day-to-day administrative support, including managing correspondence, maintaining records, and assisting with ad hoc tasks as required.
What you'll need to succeed
As well as the below, this role requires the ability to obtain and maintain a Baseline security clearance.
To be successful in this role, you will demonstrate:
- Strong written and verbal communication skills, with the ability to engage confidently with senior executives and stakeholders.
- Proven experience in meeting coordination, minute taking, and action tracking in a government or similar environment.
- High-level organisational skills with the ability to manage competing priorities and meet deadlines.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, PowerPoint, and SharePoint.
- A proactive and collaborative approach, with a commitment to continuous improvement and professional development.
