Main Description:
Our client is a leading global provider of integrated automotive logistics services.They are seeking a highly organized and efficient Office Manager to oversee day-to-day administrative and
operational activities in our logistics company. The ideal candidate will have experience in administration
management within a fast-paced environment, ensuring smooth operations, supporting staff, and contributing to
the overall efficiency of the company.
Management Description:
- Be in charge of company level administration, including preparing periodical Director’s report on behalf of GM & Director of ALA for meeting and communication to headquarter in China.
- Be in charge of HR functions such as onboarding, employee records, and leave management, based on cooperation with HR service providers.
- Maintain health and safety policies, ensuring compliance with related industry regulations and Australian law.
- Oversee scheduling, travel arrangements, and event planning for management and staff.
- Be in charge of the general procurement process on behalf of the company, including but not limited to purchase contract for leasing & service contract, invoice validation & payment application to finance.
- Handling and updating official processes and systems for the company
- Provide administrative support and report to senior management and work as contact window for different departments from headquarter in China.
- Manage general procurement for upkeep material for office & warehouse operations, including order releasing, stock management, equipment maintenance, etc.
- Liaise with suppliers, vendors, and external service providers, including law firms, accounting firms etc.
- Supporting finance department for financial operations in Australia, including communication with local stakeholders, like banks, tax authority/agent, etc.
- Coordinate communication between different departments (warehouse, logistics, finance, etc.) to ensure smooth business operations.
- Supporting other tasks requested by GM of ALA
Operation Description:
- Company board report. - (Half-year, Annual)
- Official system document for company management and operation, including but notlimited to the process for HR, procurement and safety management.-(At request)
- Monitor the team's work efficiency, achievement of KPI and payroll management. -(Weekly or monthly)
- Ordering, payment and budget management for general procurement -(Weekly or monthly)
- Inventory management for office & warehouse operation -(Monthly)
- Other reports that requested by GM of ALA -(At request)
Main KPI:
- Performance of Company board report.
- Efficiency of management for HR and General Procurement.
- Feedback on the support from company staff and headquarter from China
- Performance on the budget management for General Procurement
- General operation efficiency of the office and warehouse
- Other KPI requested by GM of ALA
Requirements:
- 3+ years of office management experience, ideally within logistics or a related industry.
- Bachelor’s degree in business administration, Office Management, or related field (preferred).
- With pioneering and enterprising spirit, self-motivated.
- Strong communication and collaboration skills. Be capable of coordinating resources across various parties.
- Quick Learner and innovative, proactive research and leverage human factors and data analysis to pinpoint key elements.
- Proven experience as a Office Manager or in a similar executive assistant role, preferably in logistics or supply chain management.
- Knowledge of logistics processes, HR management or experience of company preparation in Australia is a plus.
