Office Manager – Global Investment Bank

Our client is a prestigious global investment bank known for their innovation, market leadership, and expanding presence in Australia. This role is essential to supporting the business's continued growth and driving process improvements within a globally connected organisation. You will work alongside the COO to enhance the operations of the Sydney and Melbourne offices, contributing to a collaborative and high-performing environment.

About the Role
As the Office Manager, you will partner closely with the COO to ensure the smooth daily operations of the Sydney and Melbourne offices. You will take ownership of administrative functions, office operations and, real estate and facilities projects while also coordinating with various departments to maintain a safe and well-maintained office environment.

Key Responsibilities

  • Oversee day-to-day office operations, including facilities management, supplies, equipment inventory, and vendor relationships.
  • Handle procurement agreements, update insurance coverage records, and manage budgets and invoice payments.
  • Compile and maintain administrative policies and complete regulatory reporting.
  • Maintain a safe and secure office environment, including coordinating cleaning, security, and repairs.
  • Oversee event management, including corporate travel and conference arrangements.
  • Handle ad-hoc projects as assigned by management.
  • Oversee office safety, security, and reception management.

Skills & Qualifications:

  • Proven experience in office management or a similar administrative role.
  • Strong organisational and multitasking skills with attention to detail.
  • Excellent communication skills and the ability to build credibility with senior stakeholders.
  • Proficiency in office software and budget management.
  • A proactive approach to identifying operational efficiencies and process improvements.
