THE OPPORTUNITY
We are seeking a reliable, proactive individual who thrives on keeping things organized and running smoothly behind the scenes. You don’t need to have worked in a formal administrative role—but if you're someone who naturally stays on top of tasks, keeps things in order, and enjoys helping others stay on track, we’d love to hear from you!
This is a full time site based role at Mulgrave.
KEY RESPONSIBILITIES:
Office Administration:
○ Manage office supplies inventory and place orders as needed.
○ Coordinate office maintenance and repairs.
○ Handle incoming and outgoing mail and packages.
○ Maintain office filing systems and databases.
○ Ensure the office is clean, organized, and presentable at all times.
Reception and Communication:
○ Greet visitors and direct them to the appropriate person or area.
○ Answer and direct phone calls, take messages, and provide information.
○ Respond to emails and other correspondence in a timely manner.
○ Assist with scheduling appointments and meetings.
Administrative Support:
○ Assist with preparing documents, reports, and presentations.
○ Coordinate travel arrangements and accommodations.
○ Support other staff members with administrative tasks as needed.
○ Maintain confidentiality of sensitive information.
○ Support for Asset Audits
Event Coordination:
○ Assist with planning and organizing office events and meetings.
○ Coordinate catering and other logistics for events.
Other Duties:
○ Perform other duties as assigned by management.
○ Entering transactions for credit card statements
○ Manage Share Houses - Inspections
○ Support bookkeeping or data entry for accounting software
○ Assist with onboarding tasks such as welcome kits, desk setup, and access cards.
CANDIDATE ATTRIBUTES
The successful candidate will possess the following:
○ Confidence using Google Workspace (Gmail, Calendar, Docs, Sheets, etc.).
○ Great organization and time management skills.
○ Clear and professional communication, both written and verbal.
○ A knack for juggling multiple tasks and staying calm under pressure.
○ A keen eye for detail and a proactive approach to solving problems.
○ A strong sense of discretion and confidentiality.
