We’re seeking a proactive and highly organised Office Coordinator to support our dynamic team and ensure the smooth daily operations of our head office. Reporting directly to the Group Director of Human Resources, this role is key to providing seamless administrative, finance, and operational support across all business units.
About the Role
As the Office Coordinator, you will be the engine room of our workplace — keeping everything running smoothly while building strong working relationships with key stakeholders including the CEO, General Managers, Human Resources, Legal, Finance, Construction, and Development.
This is a hands-on role that blends traditional office administration with finance processing, CRM support, and fleet management. If you're someone who thrives in a busy environment, has an eye for detail, and takes pride in creating a well-run office, we want to hear from you.
Key Responsibilities
Manage all aspects of office administration including reception duties, mail, kitchen and stationery supplies, and general maintenance.
Provide direct support to the MD and CEO including calendar coordination, document preparation, and credit card reconciliation.
Assist with finance tasks such as verifying sales in Salesforce, managing expense claims, purchase orders, and fleet-related reconciliations.
Update CRM systems with sales data and documentation for the Development and Sales teams.
Coordinate site access for agents, buyers, and valuers as needed.
Oversee vehicle fleet management including registrations and compliance tracking.
Maintain legal document registers and safe custody of critical records.
Skills Required
To be successful in this role, you will come with the below skills and experience:

Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
Proficiency in MS Office
Proven experience as an administrative assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment
Able to bring energy, initiative, and professionalism to every task.
Able to communicate clearly and thrive in a fast-paced, collaborative environment.
Experience
Previous experience as an Office Coordinator or Administrative Assistant (essential)
Competent in Microsoft Office Suite (Excel, Word, Outlook)
Experience with Salesforce, Concur, and CRM/expense systems (desirable)
Strong organisation skills, time management, and communication skills
Tertiary qualification in business or a related field (preferred)
