About the Role
As the Executive & Operations Coordinator in this dynamic role, you will provide support to senior leaders across multiple business ventures.
You'll split your time between supporting a project team delivering development projects, assisting with personal family office tasks, and contributing to key business operations.
Collaborating closely with the family and other team members, you'll manage a blend of administrative tasks and personal responsibilities.
This is a unique opportunity to strengthen culture and engagement within a prominent family business network.
Duties:
- Calendar & Meeting Coordination: Manage the executive's calendar, scheduling appointments, meetings, and events to ensure smooth time management and avoid scheduling conflicts.
- Travel & Personal Assistance: Coordinate domestic and international travel, including flights, accommodation, and itineraries. Provide personal support with vehicle management, home maintenance, and family-related tasks.
- Event Planning & Coordination: Lead the end-to-end coordination of events, including the annual family retreat-managing accommodation, activity planning, and transport logistics.
- Culture & Engagement Support: Support internal culture initiatives by organising meetings, taking minutes & tracking action items.
Skills and Experience
- Exceptional organisational abilities with a strong attention to detail, ensuring all tasks and projects are meticulously managed.
- Ability to manage conflicting time and activity demands, prioritise tasks, and meet deadlines effectively while maintaining efficiency.
- Skilled in navigating and prioritising relationships, balancing administrative duties while effectively engaging with key stakeholders.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), with strong written and verbal communication skills.
- Experience in event coordination is a must.
- Experience working for a private family office or high net worth individual highly regarded.
Additional Info
- Work between two office locations, located on the outskirts of the CBD.
- Perm Full Time - 5 days in office.
- Paid on site parking.
